The OpportunityWe are seeking a highly organized and detail-oriented MVA Coordinator to join our growing team. This role is essential to supporting patients recovering from motor vehicle accidents by ensuring the timely submission, management, and resolution of insurance claims and treatment funding approvals.As the MVA Coordinator, you will serve as the primary point of contact for Motor Vehicle Accident billing and insurance processes across our clinics. You will work closely with patients, insurers, legal representatives, and healthcare providers to ensure claims are managed accurately, funding approvals are secured, and treatments proceed without unnecessary delays.This is an ideal opportunity for someone who thrives in a fast-paced healthcare environment, enjoys problem-solving, and has a strong understanding of Ontario's auto insurance and rehabilitation system.
The Role-
Compensation: $45,000 to $55,000

Responsibilities and duties:MVA Billing & Claims Management-
Manage all Motor Vehicle Accident (MVA) billing processes from intake through claim resolution.

Submit, track, and manage OCF documentation through HCAI, including OCF-3s, OCF-18s, OCF-23s, and related forms.

Review and verify billing accuracy to ensure timely reimbursement and minimize claim denials.

Monitor insurer approvals, partial approvals, denials, and required follow-up actions.

Identify and resolve billing discrepancies proactively to support efficient claims processing.
-
Reconcile payments, invoices, remittance statements, and insurer payments.
Insurance & Stakeholder Coordination-
Communicate with insurance adjusters, legal representatives, healthcare providers, and referral partners regarding claims and supporting documentation.

Build and maintain strong professional relationships with lawyers, paralegals, insurance adjusters, and referral sources.

Support patients with questions related to MVA coverage, funding approvals, and billing processes.

Ensure all required documentation is submitted accurately and within insurer timelines.
Treatment Funding & Clinical Coordination-
Coordinate with clinical staff to ensure treatment plans, progress reports, and supporting documentation are completed accurately and on time.

Liaise with multidisciplinary providers regarding authorized treatment sessions, treatment extensions, and insurer approvals.

Monitor treatment balances and funding limits, proactively alerting staff regarding exhausted, pending, or approved funding.

Identify opportunities to maximize approved treatment plans while maintaining compliance with insurer and regulatory requirements.
Accounts Receivable & Revenue Cycle Support-
Track outstanding accounts receivable and follow up on overdue payments.

Monitor claim status and ensure timely collection of approved funds.

Support revenue cycle management by maintaining accurate billing records and financial tracking.

Escalate unresolved payment issues as appropriate.
Process Improvement & Operational Support-
Assist in developing and improving internal MVA workflows and operational efficiencies.

Maintain accurate tracking systems and reporting related to claims and billing activities.

Train and support administrative team members on MVA procedures and billing protocols.
-
Contribute to continuous improvement initiatives that enhance patient experience and operational effectiveness.
The CandidateMust-haves-
Experience with HCAI billing and Ontario MVA rehabilitation processes.

Strong understanding of Ontario auto insurance procedures and OCF documentation requirements.

Experience managing insurance claims, approvals, denials, and treatment funding.

Strong attention to detail and exceptional organizational skills.

Excellent communication and relationship-management abilities.

Strong problem-solving and analytical skills.

Ability to manage high-volume workloads and follow-up activities effectively.

Proficiency with Microsoft Office and administrative systems.

Ability to work independently while collaborating effectively with clinical and administrative teams.
Nice-to-Haves-
Experience in a physiotherapy, rehabilitation, occupational therapy, or multidisciplinary healthcare clinic.

Familiarity with EMR systems and clinic management software.

Experience supporting accounts receivable and healthcare billing operations.

Knowledge of WSIB or extended health benefit billing processes.
