The Project Administrator role is an exciting opportunity to be part of a large-scale infrastructure project in a dynamic, fast-paced environment. The successful candidate will play a critical role in supporting project operations, document control, and site administration functions. A team-oriented mindset and excellent communication skills are essential. The successful candidate will also demonstrate strong problem-solving abilities and be willing to work on a remote project site.
Responsibilities
- Assist the project team with daily administrative functions
- Collect, review, scan, and electronically file daily labour and equipment timecards, and accurately enter labour and equipment hours into ERP system (Acumatica)
- Maintain and manage project documentation including RFIs, submittals, drawings, and correspondence
- Support procurement activities including purchase order tracking and vendor correspondence
- Coordinate travel logistics for project personnel, including flight bookings, company vehicle assignments, airport pickups/drop-offs, and transportation to and from the project site
- Coordinate and manage accommodations for project personnel, including booking rooms, tracking occupancy dates, and ensuring accommodations align with crew rotations and project schedules
- Coordinate site access, visitor logs, and safety orientation records
- Manage site office operations including supplies, equipment, and communications
- Coordinate site facilities and services, including portable washroom servicing, potable water supply, office and lunchroom consumables, and general site housekeeping requirements
- Assist with onboarding of new site personnel
- Assist with regulatory reporting requirements
- Apply creative and practical problem-solving skills to address project challenges in a fast-paced construction environment
Required Qualifications & Skills
- Minimum 2–3 years of administrative experience, preferably in construction or a related industry
- Post-secondary education in Business Administration, Office Administration or Construction Management is considered an asset
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Experience in ERP software (Acumatica preferred) or similar project accounting systems
- Strong organizational skills with exceptional attention to detail
- Ability to manage competing priorities multiple priorities, meet deadlines, and adapt in a fast-paced environment
- Excellent written and verbal communication skills
- Ability to handle confidential information with professionalism and discretion
- Flexibility and willingness to travel to and work on remote project sites, including camp-based assignments on a 14/7 shift rotation
- Familiarity with heavy civil construction operations (earthworks, infrastructure, mining)
- Self-motivated with the ability to work independently
- Strong data entry skills with a high degree of accuracy
- Valid Class 5 Driver’s Licence with a clean driving record
