As the Facility Coordinator, you are responsible for supporting safe, efficient, and contract-compliant facility operations across multiple client locations within the GTA and Brantford through the coordination of training, compliance activities, maintenance programs, custodial and sanitation services, contractor management, vendor administration, and financial processes. You will work closely with client stakeholders, operations teams, contractors, vendors, and frontline facility staff to ensure operational excellence, safety compliance, customer satisfaction, and continuous improvement. You will also support facility programs including sanitation, waste management, grounds maintenance, and pest control services.
The salary range for this position is $55,000 to $64,000 . Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. In addition to base salary, eligible employees may be entitled to other elements of total compensation, which may include group benefits, employer RRSP contributions, and discretionary bonus or incentive programs, where applicable to the role. Now, if you were to come on board as a Facility Coordinator, we'd ask you to do the following for us:
- Coordinate and maintain records for associate, vendor, contractor, and site orientation training.
- Coordinate onboarding and training activities related to facility procedures, equipment operation, approved cleaning products, site safety requirements, and contractor compliance programs.
- Support compliance with SOPs, EHS requirements, client policies, contractor governance standards, GMP requirements where applicable, and contract obligations.
- Serve as a key contact for safety communications, incident documentation, corrective actions, compliance updates, and audit support activities.
- Coordinate preventive maintenance work orders, service requests, maintenance schedules, CMMS tracking, and completion documentation.
- Support the oversight of facility equipment and operational assets, ensuring equipment remains functional, service records are maintained, and users receive appropriate training on safe and effective operation.
- Coordinate sanitation, custodial, grounds maintenance, pest control, laundry, waste management, recycling, and other facility support service programs to ensure compliance with client and regulatory requirements.
- Support vendor administration, including registration, scheduling, permits, service documentation, contractor coordination, site access management, contractor escort requirements, and performance tracking.
- Coordinate access requests and assist with the management of controlled facility access for employees, vendors, contractors, and service providers as required.
- Manage purchase orders and invoice processes, including approvals, billing validation, discrepancy resolution, and vendor spend tracking.
- Maintain compliance, KPI, forecast, contract performance, and out-of-scope trackers to support reporting and governance activities.
- Support inventory control and coordination of facility supplies, consumables, and operational materials across multiple sites.
- Provide updates and reporting support for client meetings, operational reviews, monthly reviews, and quarterly business reviews.
- Support the coordination of custodial and facility support staff activities, providing guidance, work coordination, and follow-up to ensure service commitments and schedules are achieved.
- Coordinate facility operations, maintenance activities, compliance requirements, and vendor services across multiple client sites throughout the GTA and Brantford.
- Promote a culture of safety, continuous improvement, customer service excellence, and operational effectiveness across all supported locations.
- Other duties as assigned by the management.

- Strong knowledge of EHS practices, safety regulations, contractor safety requirements, compliance tracking, GMP principles, and audit processes.
- Experience coordinating training programs, maintaining compliance records, and supporting incident reporting and corrective action activities.
- Experience coordinating facility support services such as custodial operations, sanitation, waste management, recycling programs, grounds maintenance, pest control, or related services is considered an asset.
- Ability to manage contractor documentation, safety requirements, service quality, completion verification, and site access requirements.
- Excellent organizational, communication, customer service, follow-up, and time-management skills with the ability to manage multiple priorities.
- Strong attention to detail, sound professional judgment, and the ability to work effectively in a fast-paced environment.
- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, PowerPoint, and Teams.
- Experience with CMMS platforms, work order systems, vendor management tools, maintenance planning systems, or compliance tracking software is considered an asset.
- Professional judgment, attention to detail, and the ability to collaborate effectively with clients, internal teams, contractors, vendors, and facility staff.
- Ability to support multiple locations and travel within the GTA and Brantford area based on operational requirements.
- Ability to occasionally perform site inspections and operational support activities; ability to lift up to 50 lbs. is considered an asset.
- Five or more years of facilities maintenance, contractor coordination, compliance, safety, facility services, or related operational support experience is preferred
