Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will have strong clerical and customer service skills, with experience in office management, data entry, and using various software tools. This role is vital in ensuring smooth daily operations, maintaining accurate records, and providing exceptional support to staff and clients. Prior experience in medical or dental offices is a plus, but not required. Responsibilities
- Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain filing systems both electronically and physically to ensure easy retrieval of documents
- Assist with scheduling appointments, managing calendars, and coordinating meetings
- Provide customer support via phone and email, addressing inquiries efficiently
- Support bookkeeping activities such as invoicing, billing, and record keeping
- Proofread documents for accuracy and clarity before distribution
- Handle administrative tasks related to medical or dental office operations if applicable
- Support office organization through filing, photocopying, and other clerical duties as needed
Requirements
- Proven experience in an administrative or clerical role, preferably within a medical or dental office setting
- Strong computer skills including proficiency with Microsoft Office (Word, Excel), Google Workspace, and QuickBooks
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette and customer service skills for front desk interactions and client communications
- Experience with data entry, proofreading, and maintaining accurate records
- Ability to handle multi-line phone systems efficiently and professionally
- Strong typing skills with attention to detail for documentation accuracy
- Knowledge of filing systems and general office procedures
- Prior experience with bookkeeping or financial record management is a plus
- Ability to work independently with minimal supervision while maintaining high standards of professionalism
Pay: $25.00-$32.00 per hour
