Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently. Experience in law offices is a plus, but not required. Discretion and respecting confidentiality are a must. The position offers an engaging work environment where organizational skills and attention to detail are highly valued.
Responsibilities
- Greet visitors and clients in a courteous and professional manner
- Manage multi-line phone systems, directing calls appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry with accuracy, ensuring all records are up-to-date
- Handle incoming and outgoing correspondence, including emails and mail
- Maintain filing systems for easy retrieval of documents
- Assist with administrative tasks such as photocopying, faxing, and proofreading documents
- Support bookkeeping activities using QuickBooks or similar software when necessary
- Ensure the reception area is tidy and welcoming at all times
- Provide excellent customer support by addressing inquiries promptly and professionally
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Strong computer skills with the ability to learn new software quickly
- Experience with data entry, filing, and clerical tasks
- Excellent phone etiquette and customer service skills
- Ability to handle multi-line phone systems efficiently
- Organizational skills with attention to detail and accuracy
- Typing speed with good proofreading abilities
- Previous administrative or clerical experience preferred; law office experience is a plus
- Knowledge of QuickBooks or bookkeeping experience is desirable
- Strong organizational skills to manage multiple priorities effectively
