Job Summary
Zodiac Hurricane Technologies, located in Delta, BC, is looking for an experienced Sales Supervisor to lead our Sales Administration team while coordinating after-sales support, warranty services, customer orders, invoicing, and logistics. This is a temporary full-time position providing leave coverage for approximately 12 months, with the potential for an extension if additional leave coverage is required. The successful candidate will work closely with multiple departments to ensure excellent customer service and efficient order fulfillment while supporting the company's vision, mission, and values.
Duties and Responsibilities
- Coordinate cross-functional activities with Production, Purchasing, Stores, Logistics and other internal departments to ensure product availability and on-time order fulfillment for after sales and warranty.
- Supervise, coach and support the Sales Administration team including assigning work, monitoring performance and providing training and guidance.
- Prepare, review and validate customer quotations, sales orders and invoices to ensure accuracy, completeness and compliance with contractual terms, company policies and accounting standards using the M3 ERP system.
- Review customer invoicing to ensure transactions are accurately recorded and aligned with contract terms, pricing agreements and company revenue recognition policies.
- Maintain a working knowledge of deferred revenue and revenue recognition principles to support the accurate timing of invoicing and revenue recording in collaboration with the Finance department.
- Coordinate with the Finance Department to identify and resolve invoicing discrepancies, deferred revenue items, credit memos and billing adjustments in a timely manner.
- Monitor customer accounts and follow up on outstanding invoices in collaboration with the Finance Department.
- Administer warranty claims including processing, tracking and coordinating resolutions with Project Managers and other departments.
- Process and maintain internal order waiver documentation, ensuring timely follow-up with Project Managers and the Stores Department to complete customer orders.
- Provide timely order status updates, respond to customer inquiries, resolve concerns, and provide product information and support.
- Coordinate with the Purchasing department to monitor supplier orders and communicate updates as required.
- Prepare and support shipping and logistics documentation as needed including bills of lading, invoices, customs documentation and other shipping records.
- Assist with developing and implementing sales support and logistics processes to improve operational efficiency and customer satisfaction.
- Investigate and resolve issues related to customer orders, shipments, deliveries and product availability in a timely manner.
- Support and maintain standard operating procedures for sales administration and logistics functions.
- Maintain current knowledge of industry trends, regulatory requirements and best practices related to sales operations, logistics and customer service.
- Perform other related duties as assigned.
Qualifications:
- Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or a related field is preferred; an equivalent combination of education and experience will be considered.
- Minimum of three (3) years of progressively responsible experience in sales coordination, customer service, logistics, or sales operations within a manufacturing, industrial, or production environment.
- Previous supervisory or team lead experience in a customer service, sales support or manufacturing environment is considered an asset.
- Demonstrated knowledge of order management, inventory coordination, shipping, invoicing and logistics processes.
- Experience using ERP systems (preferably M3), along with proficiency in Microsoft Office (Excel, Word, Outlook and PowerPoint) and Google Workspace.
- Strong organizational, planning and multitasking skills with the ability to prioritize competing demands and meet deadlines.
- Excellent attention to detail with a high degree of accuracy in data entry, documentation and order processing.
- Strong analytical, problem-solving and decision-making skills with a proactive approach to issue resolution.
- Excellent verbal and written English language skills with the ability to build positive relationships with customers, suppliers and internal stakeholders.
- Knowledge of international shipping, customs documentation and trade regulations is considered an asset.
- Demonstrated commitment to providing exceptional customer service while maintaining a collaborative and team-oriented approach.
- Working knowledge of accounting principles related to invoicing, deferred revenue and revenue recognition.
