This role provides specialized, dedicated support to the Project Management team on EPC and HMS projects, with responsibilities spanning project administration, procurement coordination, and overall project support activities.
IN THIS POSITION YOU WILL:
- Own and manage Vendor Managed Inventory (VMI) systems at customer facilities, ensuring all required EHT materials are on site and available to maintenance personnel
- Track and coordinate work orders for materials, working closely with project accounting for accurate and timely invoicing
- Maintain detailed Bills of Materials within the customer's financial system, ensuring all materials ordered are documented against the appropriate work order
- Manage weekly material reordering in coordination with the customer's business team
- Support change order development from end to end — including quantity tracking, collection, and document preparation
- Analyze project data and produce clear, accurate progress reports for the project team
- Assist with subcontractor management including invoice approvals and supporting documentation
- Lead weekly construction meeting, follow up and through changes, update tracker and coordinate internal and external resources to support project execution and scheduling
- Work alongside the Project Manager to monitor project progress and support adjustments to scope, timelines, and cost as needed
- Prepare requisitions and material documentation for project teams, including EHT controllers, data specifications, and customer-required documents per project specifications
- Communicate priorities, expediting needs, and shipping updates to the supply and procurement team
YOU HAVE:
- A diploma or degree in Engineering, Engineering Technology, Business, or Project Management — an engineering background or technical understanding of electrical heat tracing (EHT) systems is a strong asset
- 1-2 years of experience working in a project-based environment is an asset
- A proven ability to work independently, manage your own priorities, and take ownership of your tasks without requiring step-by-step direction
- The initiative to learn new systems, processes, and technical content on your own — and the good judgment to ask questions and seek guidance when needed
- Strong analytical skills with the ability to interpret project data and communicate findings clearly
- Excellent organizational skills with the ability to manage multiple projects and competing deadlines simultaneously
- Proficiency in Microsoft Excel; experience with other databases or project management tools is an asset
- Strong interpersonal and communication skills — comfortable working across project teams, with customers, and with field personnel
- Flexibility for occasional on-call support on weekends as required
- Flexibility for occasional travel for projects throughout Alberta
- Valid Class 5 license with no more than 5 demerits is required
