Human Resource Coordinator
Position Summary
The Human Resource Coordinator provides day-to-day HR administrative and operational support to the HR Manager, Shared Services, while contributing to broader Corporate HR priorities. This role is responsible for coordinating core HR processes, including recruitment support, onboarding, employee records administration, and HR systems data maintenance. The position also assists with the daily activities of the HR Manager, Shared Services, helping to ensure efficient, professional, and service-oriented HR support.
Key Responsibilities
- Provide day-to-day HR administrative support to the HR Manager, Shared Services, including assistance with operational activities, scheduling, documentation, and follow-up.
- Prepare offer letters, employment contracts, and other employment-related documentation in alignment with corporate standards, internal controls, and established HR processes.
- Coordinate interview scheduling, candidate communications, and recruitment administration to support an efficient and professional hiring process.
- Support onboarding and offboarding processes, including documentation, system updates, orientation coordination, and related administrative activities.
- Maintain accurate employee records and support HR systems administration, including data entry, employee updates, transaction processing, workflow support, onboarding changes, reporting, and general system coordination.
- Compile and maintain HR reports, trackers, and related documentation to support data accuracy, reporting requirements, and informed decision-making.
- Track attendance, leaves, and other employee information while supporting compliance with applicable legislation, collective agreements, internal policies, and reporting requirements.
- Respond to routine employee and manager inquiries, escalating matters as appropriate and ensuring timely, professional follow-up.
- Support the implementation and administration of HR policies, procedures, and programs, ensuring a consistent and service-oriented approach across Corporate HR activities.
- Contribute to employee engagement and development initiatives while delivering responsive, professional customer service to leaders, employees, and cross-functional partners.
Qualifications
- Post-secondary education in Human Resources, Business Administration, or a related discipline.
- Three (3) or more years of progressive experience in an HR coordination or support role, preferably within both unionized and non-unionized environments.
- Proficiency with Microsoft Office Suite and comfort working with HR systems, with the ability to learn internal platforms and processes quickly. Previous direct system experience is not required.
- Strong written and verbal communication skills, with a high degree of organization, accuracy, and attention to detail.
- Progress toward, or interest in pursuing, a CPHR designation is considered an asset.
Working Relationships
- Reports to the HR Manager, Shared Services, and provides day-to-day coordination and administrative support in the delivery of Corporate HR activities.
- Works closely with employees, people leaders, and members of the broader HR team to support HR programs, transactions, and employee lifecycle processes.
- Collaborates with internal stakeholders and cross-functional partners to ensure timely, accurate, and service-focused HR administration.
