Purpose and Scope
The Administrator / Assistant provides administrative and clerical support to the Human Resources Manager, ensuring the accurate processing, tracking, and maintenance of employee records and training documentation. This role supports high‑volume hiring activity and ongoing workforce administration by maintaining compliance, accuracy, and confidentiality across HR processes.
Organization Relationship
The Administrator reports to the Human Resources Manager. This position does not involve any direct supervisory responsibility and is purely administrative in nature.
Working Conditions
- Office-based role with regular use of computers, printers, scanners, and laminating equipment
- Frequent handling of confidential employee information
- Periods of increased workload during hiring surges, onboarding cycles, and review periods
Responsibilites
- Draft and proof correspondence
- Add scanned documents accurately to employee files and ensure records are current and complete
- Update and maintain training file trackers and certification expiries
- Prepare and assemble information packages, supporting a high-volume onboarding environment
- Track employee boot and eyeglass claims in accordance with company programs
- Print and laminate documents and certifications
- Schedule interviews for selected candidates using Microsoft Outlook Calendars
- Perform routine shredding of confidential or time-expired documents
- Provide general administrative support to the HR department as required
Education and Training
- Post-secondary education or certification in Human Resources, Office Administration, or a related field preferred
- Working knowledge of record-keeping, confidentiality requirements, and document management
- Strong attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment
- Excellent verbal and written communication
Pay: $26.00 per hour
