Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth office operations. This role requires excellent communication skills, strong organizational abilities, and proficiency with various office software. Duties
- Greet visitors and clients in a courteous and professional manner at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records office software
- Handle clerical tasks such as filing, photocopying, scanning, and proofreading documents
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette
- Assist with bookkeeping tasks related to billing and invoicing when necessary
- Support administrative functions including organizing files, managing correspondence
Qualifications
- Proven experience in an office environment, preferably with clerical or administrative responsibilities
- Familiarity with Microsoft Office (Word, Excel), Google Workspace, and data entry procedures
- Strong organizational skills with the ability to multitask efficiently in a fast-paced setting
- Excellent customer service skills with professional phone etiquette
- Ability to handle multi-line phone systems effectively and manage front desk duties seamlessly
- Attention to detail for proofreading documents and maintaining accurate records
- Relevant experience in customer support or administrative roles is valued
- Basic bookkeeping knowledge including invoicing and billing processes is preferred
- Strong computer skills with the ability to adapt quickly to new software applications
