Administrative Assistant
East Central Alberta Catholic School Division invites applications for the position of 1.0 FTE Administrative Assistant at School of Hope in Vermilion, Alberta. The School of Hope is an on-line school with an office located in Vermilion, Alberta serving students in Kindergarten to Grade 12 in both Teacher Directed Online Learning and Parent Directed Home Education programs.
Upon successful completion of the probationary period, employment will be a permanent position. This position will commence on August 7, 2026, and is subject to the Canadian Union of Public Employees (CUPE) Local 5352 Collective Agreement. The School of Hope operates through the summer months, so this is a full year position with standard applicable vacation days. The successful candidate will be in-charge of finances for our schools and reimbursement for parent directed and shared families.
This position involves but is not limited to the following duties:
- Accounts:
- Process invoice for payments
- Atrieve
- Record accounts receivables
- Process staff expense claims for approval of principal
- Tracking of credit card payments
- Reconciliation of monthly reports
- Tracking of adult tuition payments
- Homeschooling Funding/Reimbursements
- Set up accounts spreadsheet for family/student receiving funding to track reimbursement, purchase orders and requests
- Process reimbursement claims submitted by parents for students' educational program according to school and district policy.
- Unused Funding
- Maintain a spreadsheet listing of unused funding from year to year
- KEV-SchoolCashOnline-School Generated Funds:
- Track payments, issue refunds, print reports
Desired Education and Experience:
- High School Diploma
- Related training would be an asset
- Computer experience and program applications (Google Apps-Suite/Microsoft applications)
- Experience or knowledge of Power School is an asset
- Good telephone and communication manners
- Work experience with children is an asset
- Excellent organizational skills
- Ability to work as an active team member
- Be able to accept a busy environment, handling several situations at one time
