THE ROLE
As the Receptionist, you will be essential in creating a positive and professional image for our organization. Your primary responsibilities will include greeting and assisting visitors, managing and directing phone calls, and performing a variety of administrative tasks to ensure the smooth and efficient operation of the front office. Additionally, you will be responsible for processing client payments, maintaining accurate financial records, and handling any related inquiries with professionalism and accuracy. You have excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment.
WHAT YOU’LL DO:
· Most importantly, you will lead by example, live our values, and drive business relationships for the company by providing exceptional customer service;
· As the first point of contact for clients, present a positive and professional image of the organization to all visitors, suppliers and clients.
· Take payments from clients for policies and accurately create receipts to ensure seamless financial transactions and maintain proper documentation of all transactions.
· Promptly respond to inquiries via telephone, e-mail, and in-person interactions from clients, colleagues, and other parties.
· Direct inquiries to the appropriate individuals, or departments within the organization.
· Maintain the reception area in an organized and presentable manner.
· Handle inbound/outbound mail, including priority post, packages, courier services, and other forms of correspondence;
· Contribute to a positive work environment by maintaining professional and positive relationships with colleagues.
· Other duties as required.
WHAT WE REQUIRE:
· Demonstrated experience in delivering exceptional customer service;
· A well-defined sense of diplomacy and business acumen with a focus on customer service and the overall client experience;
· Skill in analysis, problem solving, critical thinking, decision making, teamwork, communication, innovation, and adaptability;
· Strong verbal and written communication skills;
· Proficiency in Microsoft Office;
· Experience with internal Broker Management Systems (EPIC) considered an asset;
