Job description
To coordinate the effective day-to-day operation of the clinic with regards to supporting the clinicians, providing the best service to patients, clients and potential patients. The successful candidate will be responsible for fulfilling a variety of duties in both the front and back of the office, including billing support, scheduling, patient communication, and record-keeping.
Expectations for the Role
- Providing a variety of administrative duties within the clinic such as data entry, faxes, scanning, shredding, photocopying, preparing patient information booklets and other related tasks, as required
- Answering phone calls and emails and scheduling appointments or directing calls to the appropriate party. Prioritizing and responding to phone calls and messages on time
- Educating patients on what to expect from the appointment, and what/how to prepare for their visits
- Welcoming patients as they arrive at the clinic and providing the necessary paperwork for their visit
- Coordinating the flow of patients in the examination and treatment areas to ensure efficient use of the facility and the practitioner’s schedule
- Maintaining patient files by obtaining, recording, and updating personal and financial information
- Entering pertinent information into electronic medical software including the use of the Telus Health Portal for direct billing purposes
- Processing billing and patient payments and closing out the daily cash
- Assist with booking follow-up appointments as needed
- Maintaining inventory of products and supplies.
- Minor bookkeeping including entry of expenses and invoices into QuickBook software
- Day to day maintenance and cleaning of the office environment including various cleaning protocols by public health regulations
- Ensuring the protection of patients’ rights by maintaining the confidentiality of personal and financial information
Required Experience, Knowledge and Skills
- A professional and courteous disposition
- Must possess a strong work ethic, be self-motivated and able to work independently with minimal supervision
- Ability to multi-task and manage time efficiently
- Meticulous attention to detail and excellent record keeping skills
- Excellent written and oral communication skills with the ability to empathize with patients
- Excellent customer service skills, providing high-quality care to clients from the moment they walk into the clinic until the moment they leave
- A genuine interest in the well-being of patients
- Team player attitude and the ability to work effectively in a team setting, contributing to a positive and collaborative work environment
Assets
- Job experience in a related field (Physiotherapy clinic, Home care, or other healthcare services).
- Medical terminology experience
- Experience using Electronic Medical Record Software
- Proficiency with Microsoft office.

Compensation: $17.00-20/hr
