Job Summary
We are seeking an experienced Residential Property Management & Leasing Assistant to support the Vice President of Leasing / Property Manager in managing a portfolio of residential properties.
This role is ideal for someone with 3–5 years of property management or leasing experience who is highly organized, proactive, and comfortable working in a fast-paced environment.
You will play a key role in supporting leasing activity, tenant relations, maintenance coordination, and overall portfolio operations.
What You’ll Do
Leasing & Tenant Placement
- Assist with leasing residential units across the portfolio
- Coordinate and conduct property showings
- Advertise and manage rental listings online
- Screen applicants (credit, employment, references)
- Prepare leases and related documentation
- Track lease renewals and upcoming vacancies
Tenant Relations
- Respond to tenant inquiries professionally and promptly
- Assist with resolving tenant concerns and issues
- Support tenant retention and communication
- Issue notices and routine correspondence
Property & Maintenance Coordination
- Receive and manage maintenance requests
- Coordinate with contractors and service providers
- Schedule property inspections and follow-ups
- Monitor completion of maintenance work
- Assist with emergency situations when required
Administration & Reporting
- Maintain accurate tenant and property records
- Track rent payments and assist with arrears follow-up
- Support reporting and portfolio tracking
- Assist with budgeting and expense tracking
- Ensure compliance with Ontario Residential Tenancies Act (RTA)
Operational Support
- Work closely with the VP of Leasing / Property Manager
- Support move-ins and move-outs
- Help improve systems, processes, and workflow efficiency
What We’re Looking For
- 3–5 years experience in residential property management, leasing, or real estate administration
- Strong understanding of Ontario RTA (an asset)
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Experience with property management software (Yardi, Buildium, AppFolio or similar)
- Ability to work independently and take initiative
- Valid driver’s license and reliable transportation
Compensation & Benefits
- $27 - $30 per hour depending on experience
