Overview
We are seeking a highly organized, detail-oriented, and proactive Office Manager to oversee the daily administrative operations of our commercial landscaping company. The successful candidate will be responsible for ensuring the office operates efficiently while supporting management, employees, clients, and vendors. This role requires exceptional organizational skills, strong communication abilities, and the ability to work independently in a fast-paced environment.
Responsibilities
Manage front desk operations, including greeting visitors and answering the phone systems professionally.
Perform bookkeeping functions using QuickBooks, including invoicing, accounts payable and receivable, payroll.
Prepare quotes, estimates, bids, and proposals for commercial landscaping and maintenance contracts.
Create, send, track, and follow up on customer invoices and outstanding payments.
Conduct cold calls and identify new business opportunities to support company growth.
Research commercial landscaping opportunities and assist with business development initiatives.
Coordinate employee onboarding, maintain personnel records, and ensure all employee paperwork, timesheets, and daily logs are completed accurately and submitted on time.
Schedule meetings, appointments, and coordinate office workflow.
Maintain organized filing systems and company documentation.
Track company vehicle maintenance, inspections, registrations, and compliance requirements.
Coordinate with vendors and suppliers while maintaining professional client and vendor relationships.
Order and maintain office supplies and equipment.
Provide administrative support to management and assist with special projects as required.
Qualifications
Minimum 3–5 years of experience in an office management or office administration role.
Previous hands-on experience with QuickBooks is required, including bookkeeping, invoicing, payroll, accounts payable and receivable, and bank reconciliations.
Previous experience preparing quotes, estimates, and bids.
Previous experience making cold calls and generating new business opportunities.
Strong proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and general computer applications.
Excellent organizational, time management, and multitasking skills.
Strong verbal and written communication skills with professional phone etiquette.
Ability to work independently, take initiative, and manage multiple priorities with minimal supervision.
Fast learner with excellent problem-solving skills and attention to detail.
Experience in the commercial landscaping, construction, or property maintenance industry is considered a strong asset.
Diploma or certificate in Office Administration, Business Administration, Accounting, or a related field is considered an asset. Equivalent work experience will also be considered.
Pay: $24.00-$30.00 per hour
