We are seeking a reliable and detail-oriented PERMANENT Part-time Administrative Assistant to support our office operations. This role is ideal for someone with strong organizational skills, proficiency in office software, and excellent customer service abilities. The successful candidate will assist with daily administrative tasks, manage communication channels, and ensure smooth workflow within the office environment. Prior experience in medical or dental offices, bookkeeping, or front desk support is a plus but not required. This position offers flexible hours suitable for individuals seeking part-time employment.
Responsibilities
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks.
- Manage multi-line phone systems, answer inquiries, and direct calls appropriately with professional phone etiquette.
- Support front desk duties including greeting visitors, scheduling appointments, and handling customer support queries.
- Organize and file documents both digitally and physically to ensure easy retrieval and compliance with recordkeeping standards.
- Assist with billing, invoicing, and basic bookkeeping tasks as needed.
- Proofread correspondence, forms, and reports to ensure accuracy and professionalism.
- Provide general administrative support such as photocopying, faxing, and preparing materials for meetings.
- Support team members with organizational tasks to improve overall office efficiency.
Requirements
- Proven experience with Office software including Microsoft Office Suite and Google Workspace.
- Strong computer skills with the ability to learn new software quickly.
- Previous clerical or administrative experience preferred; experience in medical or dental offices is a plus.
- Excellent organizational skills with attention to detail.
- Ability to handle multiple tasks efficiently in a fast-paced environment.
- Strong communication skills including professional phone etiquette and customer service experience.
- Typing speed of at least 40 words per minute with proofreading skills for error-free documents.
- Familiarity with multi-line phone systems and front desk operations is desirable.
- Reliable internet connection and personal computer or tablet for remote or hybrid work arrangements are preferred but not mandatory.
Pay: $18.00-$22.00 per hour
