Position Summary
The Food & Beverage Operations Coordinator is a key support role within the Food & Beverage Division. This position is responsible for maintaining daily operational flow, managing event documentation and revisions, preparing accurate site maps and room layouts, and supporting communication between culinary, service, and leadership teams.
Working directly with the Executive Chef, Director of F&B and the Assistant Director of Food & Beverage, the Operations Coordinator serves as the central hub of organization and information for the department.
Key Responsibilities
Operational Support
- Provide day-to-day administrative and organizational support to the F&B Operations Department.
- Maintain department expenses, track purchase orders, and assist with ordering documentation.
- Attend operational meetings and record accurate minutes, action items, and follow-up requirements. Twice per day.
- Assist with daily communication to culinary and service teams regarding menu updates, room setups, and operational requirements.
- Assist with quality-control checks to ensure departmental standards are being followed consistently.
- Support special projects and departmental initiatives as assigned.
Event Support & Documentation
- Update, format, and distribute all event revisions and supporting documents.
- Create, update, and maintain event site maps, room layouts, BEO visual diagrams, and traffic-flow plans.
- Ensure all event details are communicated clearly to BOH, FOH, and leadership teams.
- Organize and maintain digital folders for events, menus, site maps, and operational documents.
F&B Service
- Assist the Dining Room and café teams as Host/Hostess when required.
- Input and maintain POS updates including menu items, modifiers, specials, and pricing changes.
- Reconcile beverage requisitions with inventory documentation.
- Prepare daily menu labels, signage, and printed materials for service teams.
F&B Production
- Coordinate the scheduling, counting, and documentation of monthly F&B inventories and audits.
- Format and update all menus (breakfast, lunch, dinner, café, bar, banquet).
- Maintain par levels for chemicals, paper goods, small wares, and FOH/BOH supplies.
- Assist with costing spreadsheets and production workbooks for Pipes Cafeteria and Banquets.
- Update all logbooks, communication binders, and digital trackers.
- Maintain updated menu and beverage lists on shared drives.
Qualifications
- High School Diploma required;
- Post-Secondary Education preferred: preference given to those with education in Hospitality, Business, or Culinary Administration.
- Previous experience in food & beverage operations or hospitality required.
- Strong organizational, communication, and multitasking abilities.
- Proficiency in Microsoft Word, Excel, PowerPoint; willingness to learn Delphi, Opera, and Micros/Simphony.
- Proficiency with Canva and other menu and image generating programs required.
- Ability to work under pressure and manage tight deadlines.
- Familiarity with food, beverage, and wine terminology is an asset.
Working Conditions
- Work completed primarily indoors in a climate-controlled office and operational environment.
Physical & Mental Requirements
- Light physical activity (occasional lifting, moving between dining/banquet/office areas).
- Ability to stay focused and organized in high-pressure, fast-paced conditions, especially during peak events.
