A busy professional in the film industry is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to provide ongoing administrative and scheduling support.This is a part-time position requiring approximately 15 hours per week, with work distributed throughout the week on an as-needed basis. The successful candidate must be available to work in-office for a minimum of 4 hours per week, with the remaining hours completed remotely as required.
Key Responsibilities
- Track and maintain monthly commission records.
- Prepare and send client payment packages in a timely and accurate manner.
- Coordinate and manage executive scheduling and calendar activities.
- Assist with coordinating client schedules as needed.
- Maintain an organized filing system, ensuring documents are easily accessible and up to date.
- Update client resumes and profiles with new bookings and relevant information.
- Maintain an ongoing reminders and task list to support daily priorities and follow-up items.
- Provide general administrative support and assist with special projects as required.
Qualifications
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, and digital document management systems.
- Ability to work independently while maintaining regular communication.
- High level of professionalism and discretion when handling confidential information.
