Operations Manager / Administration Associate / Executive Assistant to CEO / Social Media Coordinator
Location: Vaughan, Ontario (In Office)

About the Role
We are seeking a highly organized, proactive, and resourceful professional to serve as the right hand to the CEO while supporting day-to-day operations, administration, and corporate communications. This is a multifaceted role ideal for someone who thrives in a fast-paced entrepreneurial environment and enjoys wearing multiple hats.
The successful candidate will help drive operational efficiency, manage executive priorities, coordinate administrative functions, and support the company's social media presence and brand development.
Key Responsibilities
Operations Management
- Coordinate day-to-day office and business operations.
- Develop and improve administrative processes and workflows.
- Track company initiatives, deadlines, and project deliverables.
- Support vendor management, contract administration, and procurement activities.
- Assist with HR administration, onboarding, and employee records.
- Maintain operational documentation and company records.
Administrative Support
- Manage filing systems, databases, and company documentation.
- Coordinate meetings, events, and corporate functions.
- Assist with bookkeeping support, invoice processing, and expense tracking.
- Prepare reports, spreadsheets, and business correspondence.
- Handle incoming inquiries and ensure timely follow-up.
Social Media & Marketing Support
- Manage company social media accounts (LinkedIn, X, Instagram, Facebook, etc.).
- Create and schedule content aligned with company objectives.
- Assist with corporate announcements, news releases, and investor communications.
- Monitor engagement metrics and provide performance reports.
- Coordinate with designers, consultants, and marketing vendors as required.
- Maintain website content and corporate marketing materials.
Executive Assistant to CEO
- Manage the CEO's calendar, meetings, travel, and correspondence.
- Prioritize and coordinate competing demands on executive time.
- Prepare meeting materials, presentations, reports, and briefing documents.
- Take meeting notes and track action items to completion.
- Act as a liaison between the CEO and internal/external stakeholders.
- Assist with confidential and strategic projects.
Qualifications
Required
- 3+ years of experience in operations, executive assistance, office management, administration, marketing, or a related role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience managing calendars and coordinating multiple priorities.
- Ability to handle confidential information with discretion.
- Strong attention to detail and follow-through.
Preferred
- Experience supporting senior executives or founders.
- Social media management and content creation experience.
- Experience with Canva, Adobe Creative Suite, Hootsuite, Buffer, or similar tools.
- Familiarity with CRM and project management software.
- Experience in public companies, mining, finance, capital markets, or professional services environments is an asset.
