Job Description
An exciting opportunity is available for a Facilities Manager responsible for supporting our Vaughan and Richmond Hill locations. Come and join our team! We operate public transit services in York Region and require an experienced, hands-on manager who can help ensure that our facilities, washbay activities, support services and related processes are well organized, safe and effective.
This role requires someone who can do more than respond to issues as they arise. We are looking for a proactive manager who can think ahead, identify improvements, work effectively with internal and external stakeholders, and help our Maintenance and Transit Operations teams perform at their best.
Principal Duties and Responsibilities
The Facilities Manager is responsible for overseeing facility-related activities, washbay coordination, facility staff, health and safety requirements, and related administrative duties at our Vaughan and Richmond Hill locations.
· Managing facility-related activities with the goal of keeping both locations safe, organized, clean, efficient and ready to support daily operations
· Looking for ways to improve how the facilities operate, including better planning, communication, follow-up, recordkeeping and coordination between departments
· Working closely with Maintenance, Transit Operations, facility staff, contractors, Miller, the Region and other stakeholders to identify needs and solve issues before they affect service
· Overseeing the day-to-day activities of facility staff and providing direction to ensure work is completed properly, safely and on time
· Coordinating washbay activities, including the cleaning, servicing and parking of buses as required
· Ordering and maintaining bulk supplies required for washbay and facility operations
· Directing buses to be cleaned, special cleaned, inspected, held in the washbay, or prepared for service as needed, and overseeing bus cleanliness audits
· Recording completed bus cleaning, inspections and semi-annual upholstery cleaning in M5 or other maintenance tracking systems
· Managing the proper flow and parking of buses to ensure they are stored correctly when they return from service, are washed, flagged for defects and returned to the ready for service lanes
· Supporting charter operations by assigning buses based on availability, preventative maintenance schedules and operational requirements
· Directing the washbay on charter buses to be serviced and advising Operations of bus numbers and parking locations
· Reporting building deficiencies and facility issues to the appropriate service provider on a 24/7 basis
· Verifying facility issues, identifying root causes where possible, and determining whether issues were caused by TOK, Miller or other parties
· Following up on open facility issues to ensure they are properly resolved and do not become recurring problems
· Scheduling cleaning of maintenance, storage and other facility areas
· Arranging for additional refuse bins or other facility support for special projects or increased operational needs
· Communicating facility, tool and equipment issues to the Region as required
· Covering relevant facility, washbay, safety and operational matters during staff meetings
· Coordinating initial, annual and refresher training for maintenance staff and maintaining appropriate training documentation
· Scheduling off-site training as required and ensuring records are completed
· Acting as Management Co-Chair of the Health and Safety Committee
· Completing monthly facility inspections and following up on outstanding deficiencies
· Reporting health and safety matters back to the committee and maintaining required documentation
· Maintaining organized records, checklists and follow-up systems for facility, washbay, training and health and safety matters
· Other duties may be assigned by Management
Qualifications
· Experience managing facilities, maintenance support services, washbay operations or a similar operational environment
· Experience in a transit, transportation, fleet, maintenance or industrial setting would be an asset
· Strong organizational skills and the ability to plan ahead, follow up and keep multiple activities moving at the same time
· Ability to identify problems, recommend practical improvements and help implement better ways of working
· Strong understanding of facility inspections, safety requirements and workplace housekeeping standards
· Health and safety committee experience would be an asset
· Forklift training certification or the ability to become qualified as an in-house trainer would be an asset
· Experience using M5 or similar maintenance tracking software would be an asset
· Must be reliable, proactive, well-organized and accountable
· Must be a calm problem-solver and strong communicator
· Must be comfortable directing staff and coordinating work across multiple locations
· Must be able to work effectively with internal teams, contractors, customers and other stakeholders
· Proficient with computers, office applications including Outlook, Word and Excel, and basic recordkeeping
· Ability to meet the physical demands of a facility and maintenance environment when required
· Valid driver’s licence would be an asset

Compensation: Competitive pay and benefits package, commensurate with experience
Job Type: Full-time permanent
Schedule: Typical work week will be 40 hours, but must be flexible when the business needs you to stay late, respond to facility concerns, support special projects, or deal with operational requirements
Expected Start Date: Available now
Pay: $70,000.00-$90,000.00 per year
