A highly versatile Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. A successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.
PRINCIPLE RESPONSIBILITIES/DUTIES
- Perform receptionist duties which includes answering phones and forwarding accordingly
- Provide general support to visitors/customers
- Open and distribute regular and electronic mail and other material
- Set up and maintain manual and computerized information filing systems. This includes assisting with entering data into the new CRM program and maintaining contact lists.
- Assist in the preparation of regularly scheduled reports
- Manage staff appointments
- Handle sensitive information in a confidential manner
- Record and prepare minutes of meetings
- Order office supplies and maintain inventory
- Arrange travel, related itineraries and make reservations
- Entering all accounts payable and accounts receivable daily
- Prepare and accept vendor payments as required
- Prepare monthly statements of accounts payable for review by Finance Manager
- Prepare monthly statements of accounts receivable for review by Finance Manager
- Assist Finance Manager to prepare month end and year end financial statements
- Other administrative duties as assigned.
MINIMUM JOB REQUIREMENTS
- Excellent customer service skills
- Proficient in Office 365 and One Drive
- Five years administrative experience
- Excellent written and oral communication
- Reliable and flexible
- Be able to work independently as well as be a strong and confident team member
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skills
- Strong organizational skills with the ability to multi-task
