Receptionist / Administrative Assistant
About the Role
We are seeking a friendly, organized, and customer-focused Receptionist / Administrative Assistant to join our growing autobody repair facility. As the first point of contact for our customers, you will play a key role in creating a professional and welcoming experience while ensuring the office operates efficiently. This position combines front desk reception, customer service, and administrative support in a fast-paced environment. The ideal candidate is dependable, detail-oriented, and enjoys working with people while managing multiple tasks throughout the day.
Responsibilities
- Welcome customers and visitors in a friendly and professional manner.
- Answer incoming phone calls, emails, and online inquiries promptly.
- Schedule vehicle estimates, repairs, and customer appointments.
- Communicate with customers regarding repair status, appointments, and vehicle pickup.
- Process invoices, payments, and maintain accurate customer records.
- Assist with ICBC and insurance claim documentation and administrative requirements.
- Coordinate with estimators, technicians, and management to ensure smooth daily operations.
- Order office supplies and maintain an organized, clean reception area.
- Perform data entry, filing, scanning, and other general administrative duties.
- Manage incoming and outgoing mail, courier deliveries, and correspondence.
- Assist with accounts receivable/payable and basic bookkeeping duties as required.
- Support management with various administrative projects and day-to-day office operations.
Qualifications
- Previous experience in a receptionist, customer service, or administrative role is preferred.
- Experience in an autobody repair shop, automotive dealership, mechanical shop, or insurance environment is considered a strong asset.
- Familiarity with ICBC claims, estimating software (Mitchell, Audatex, CCC ONE, or similar), or accounting software is an asset but not required.
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to multitask and remain professional in a fast-paced environment.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and general computer applications.
- Positive attitude, strong work ethic, and willingness to learn.
- Valid driver’s licence is considered an asset.

Pay: $23.00-$25.00 per hour
