Fleet Maintenance Coordinator

About the Role
Bleacher Rentals is looking for a highly organized, detail-oriented Fleet Maintenance Coordinator to manage the maintenance and repair process for our fleet of mobile bleachers.
Our bleachers travel to many different locations, which means maintenance and repairs are not always completed at our own facility. This position will coordinate the entire process—from reviewing incoming damage reports and arranging repairs to following up on completed work, gathering documentation and ensuring invoices are approved and submitted for payment.
This is primarily a coordination and administrative position, but it requires a practical understanding of trailers, trucks, parts or general maintenance. You don’t need to be a licensed mechanic, but you do need to understand basic mechanical issues, ask good questions and communicate confidently with drivers and repair shops.
This position will be based in our Simcoe, ON office. Once fully trained and successfully managing the role independently, there may be an opportunity for a hybrid work arrangement.
What You’ll Be Responsible For
Managing damage and maintenance reports
- Review damage and maintenance reports submitted by drivers through our app.
- Ensure each report includes the necessary information, including a clear description, photographs, etc.
- Follow up with drivers when information is missing or unclear.
- Categorize issues based on urgency, safety concerns and repair requirements.
- Escalate significant or safety-related concerns promptly.
Coordinating repairs and maintenance
- Work with account managers to schedule repairs around each bleacher’s location and rental schedule.
- Coordinate work with company drivers, local repair shops and other service providers.
- Find appropriate repair providers when a bleacher requires service away from our facility.
- Track outstanding work and follow up proactively until it is complete.
- Communicate delays, concerns and operational impacts to the appropriate team members.
Verifying and documenting completed work
- Obtain photographs, service records or other evidence confirming that repairs have been completed.
- Confirm that the reported issue has been properly addressed.
- Keep the status of all open and completed repairs accurate and up to date.
- Maintain organized maintenance records for each bleacher.
- Ensure major repairs, recurring issues and supporting documents are saved in the appropriate bleacher file.
Managing invoices and expenses
- Gather receipts and invoices from drivers, repair shops and service providers.
- Confirm that invoices match approved and completed work.
- Obtain the necessary internal approvals and submit documentation for payment.
- Maintain accurate records of maintenance and repair costs.
Supporting preventive maintenance and improvement
- Help track preventive maintenance requirements and upcoming service dates.
- Identify overdue maintenance and recurring issues.
- Provide regular updates on open repairs, completed work and maintenance priorities.
What We’re Looking For
- Experience in fleet coordination, service coordination, equipment rentals, transportation, automotive or trailer service, or a related role is preferred.
- A practical understanding of trailers, trucks, vehicle components, parts or general maintenance.
- Excellent organization and record-keeping skills.
- Strong attention to detail and accuracy.
- Proven ability to manage multiple open tasks and follow each one through to completion.
- Clear and professional communication skills (email and phone).
- Confidence communicating with drivers, account managers, mechanics and service providers.
- Comfort reviewing photographs and written damage descriptions and asking effective follow-up questions.
- Confidence using apps, spreadsheets, shared digital files and other business software.
- Ability to work independently, prioritize effectively and take ownership of results.

Position Details
