Sales Coordinator

The Sales Coordinator plays a vital role in supporting the success of the Sales department for the dual-brand DoubleTree by Hilton and Home2 Suites by Hilton, Kingston. This position is responsible for keeping the Sales team organized, proactive, and focused on driving revenue by providing administrative, operational, and client support throughout the sales process. From coordinating group bookings and maintaining sales systems to supporting event billing, reporting, and guest communications, the Sales Coordinator helps ensure a seamless experience for clients, guests, and internal teams. This role also serves as the hotel's Social Media Champion, maintaining an engaging social media presence, supporting marketing initiatives, and showcasing our hotels, team members, events, and guest experiences to strengthen brand awareness and support business growth.
Qualifications:
· 1–3 years of hotel, hospitality, or sales experience
· Excellent written and verbal communication
· Strong organizational and multitasking skills
· Proficiency in Microsoft Office (Excel, Word, PowerPoint)
· Experience with Hilton systems (PEP, OnQ R&I) is an asset
· Experience with Delphi or another CRM software is an asset
· Ability to work in a fast-paced environment while maintaining attention to detail
· Ability to prioritize and communicate effectively
Job Duties include, but are not limited to:
Sales Systems, Group Coordination & Billing
· Monitor and assist with banquet group masters in PEP through regular communication with the Sales Team
· Initial creation of group masters remains the responsibility of the assigned Sales Manager
· Post client deposits
· Deposit tracking remains the responsibility of the assigned Sales Manager unless otherwise directed
· Post event charges prior to or on the date of the event
· Send folios to the appropriate Sales Manager after event completion for client distribution
· Support accounting with tracking outstanding balances for past events and communicate status to the appropriate Sales Manager
· Monitor and process Sertifi credit card authorizations
· Enter rooming lists for groups of five rooms or more
· Ensure group folios are processed following departure
· Enter post-stay pick-up for all groups on a weekly basis
· Distribute weekly group and events reports
· Prepare reports for GRC meetings
· Add prospective leads into Delphi
Marketing, Social Media & Sales Support
· Create new content for LinkedIn, Facebook & Instagram
· Maintain a regular posting schedule across all social media platforms
· Support and execute hotel marketing initiatives
· Assist Sales Team with site tour and tradeshow preparation, including print materials, sales kits, client gifts, etc.
Client, Guest & Operational Support
· Detail event packages on behalf of the Sales Managers
· Respond to incoming sales inquiries by phone and email, directing opportunities to the appropriate Sales Manager
· Add all Hilton Honors bonus points for promotions and event bookings
· Schedule reader board screens for all upcoming events
· Ensure VIP guests are flagged appropriately and communicate special requirements to Front Desk
· Coordinate and distribute guest amenities and room drop items, as required
· Attend department meetings; record and distribute notes as needed
· Stay informed on industry trends, competitor activity, and social media best practices to support the hotel's sales and marketing initiatives
· Support in the training of Sales Team members on systems and processes
· Assist the DOS by producing various reports, as needed
· Welcome and assist group arrivals and event hosts to ensure a positive guest experience
· Conduct site tours, as needed
