They are currently looking to add an Executive Assistant to their team to provide trusted support to their executive leadership group. This individual will play an important role in helping keep priorities organized, operations running smoothly, and supporting the leadership team through a variety of administrative, organizational, and project-based initiatives.

This position provides high-level administrative support to the executive team while also contributing to broader organizational initiatives. The successful candidate will be responsible for managing executive priorities, coordinating meetings and travel, supporting corporate events, maintaining confidential records, and assisting with various administrative projects. This role requires a high level of discretion, adaptability, and the ability to anticipate needs before they arise.
Duties and Responsibilities:
The key job functions are:
- Provide comprehensive administrative support to senior executives, including calendar management, scheduling, correspondence, and priority coordination.
- Coordinate executive meetings by preparing agendas, presentations, meeting materials, and follow-up documentation.
- Manage travel arrangements, including transportation, accommodations, itineraries, and related logistics.
- Prepare professional business communications, reports, presentations, and documentation as required.
- Maintain confidential corporate records, legal documentation, and executive files with accuracy and discretion.
- Support corporate events from planning through execution, including vendor coordination, guest communication, logistics, and event administration.
- Assist with corporate entertainment and sporting event coordination, including ticket management and guest organization.
- Provide administrative support across departments and assist with special projects and organizational initiatives.
- Act as a professional representative of the organization at internal and external events.
- Provide occasional support outside of regular business hours, including evenings and weekends, for corporate functions and events as required.
Education:
- A post-secondary education in Business Administration, Office Administration, or a related discipline is considered an asset.
- Additional training or certifications related to executive administration, project coordination, or office management are beneficial.
Qualifications:
- Must be comfortable working fully in office.
- A valid driver’s license and reliable vehicle are required.
- Flexibility to support occasional evening and weekend events is required.
Experience:
- A minimum of 5 years of experience supporting senior leadership in an Executive Assistant, Senior Administrative Assistant, or similar capacity.
- Previous experience coordinating corporate events, executive travel, and high-level meetings is preferred.
- Experience maintaining corporate records, governance documentation, or legal files is considered an asset.
Skills:
- Exceptional organizational skills with strong attention to detail and follow-through.
- Excellent written and verbal communication skills.
- Advanced proficiency with Microsoft Office Suite.
- Strong ability to prioritize competing deadlines and work independently with minimal supervision.

Base Salary: $80,000 – $90,000 per year
- Salary based on experience.
- Full benefits provided.
Work Hours:
- Full-time, 40 hours per week.
- Monday to Friday.
- Some overtime and weekend work to be expected.
