Registry Specialist – Corporate & Due Diligence Services

We are a small, dynamic, and collaborative team seeking a Registry Specialist to join our operations. Reporting to the Manager of Corporate Services and working closely with senior leadership, the successful candidate will play an important role in supporting client search and filing requests across multiple jurisdictions.

Primary Responsibilities
- Serve as a key point of contact for clients requesting corporate and due diligence searches across Ontario and Canada, including:
– Corporate searches (Profile Reports, Certificates of Status / Good Standing, etc.)
– Due diligence searches (PPSA, Bank Act, Litigation, Bankruptcy, Writs of Execution)
- Conduct Superior Court searches across Ontario and nationally, preparing clear and concise summary reports for clients.
- Prepare, review, and submit Personal Property Security Act (PPSA) registrations.
- Liaise with registries, government offices, and search agents across Canada to coordinate due diligence requests.
- Assist with Ontario corporate filings including incorporations, initial returns, notices of change, and annual returns.
- Support general operational and administrative tasks including document management, scanning, and data entry.
Required Education, Skills & Experience
- Post-secondary education in Law Clerk, Legal Assistant, Paralegal studies, or a related legal discipline.
- Experience in a search house, law firm, registry services provider, or similar legal environment is an asset but not required.
- Familiarity with corporate registries, civil litigation searches, or due diligence processes is beneficial.
- Working knowledge of the OBCA, CBCA, PPSA, Superior Courts, and Ontario Business Registry (OBR) is considered an asset.
- Strong proficiency with Microsoft Office, Adobe, and web-based applications; ability to efficiently navigate multiple online databases.
- Excellent organizational and time-management skills with the ability to manage high volumes of work while maintaining accuracy.
- Ability to work in a fast-paced environment with competing priorities and tight deadlines.
- Tech-forward mindset with a willingness to learn new systems and improve internal workflows.
- Professional, positive, and self-motivated, with the ability to work both independently and collaboratively.
- Demonstrates a high level of accuracy, accountability, and ownership when handling detailed, client-sensitive information.
