Position Summary
We are looking for a dependable, highly organized, and detail-oriented Procurement & Inventory Associate to support the receiving, sorting, inventory control, delivery, and purchasing of architectural hardware.
This is a hands-on position that combines warehouse work, jobsite coordination, inventory accuracy, and administrative responsibilities. The successful candidate must be comfortable lifting materials, working in warehouse and construction environments, and handling products that may be dusty, heavy, or difficult to organize.
Architectural hardware includes detailed and often similar-looking part numbers, finishes, sizes, functions, and job-specific requirements. Some projects involve a significant volume and value of material, and even a small box may contain expensive or critical hardware. Every item must be received, sorted, delivered, verified, and accounted for accurately.
The employee will receive incoming hardware, verify it against purchasing and project documentation, organize it by project, prepare it for delivery, and attend jobsites to review deliveries with contractors. As the employee develops product and system knowledge, the position will grow to include inventory management and purchasing responsibilities.
Key Responsibilities
- Receive incoming architectural hardware and related materials.
- Inspect shipments for visible damage, shortages, incorrect products, or other discrepancies.
- Verify received materials against purchase orders, packing slips, supplier documentation, and project requirements.
- Accurately identify and compare detailed product numbers, descriptions, finishes, sizes, handing, functions, and quantities.
- Sort and organize hardware for multiple large construction projects at the same time.
- Package and label materials clearly for the correct project, building area, opening, phase, or delivery.
- Prepare complete and accurate delivery documentation.
- Load, secure, transport, and unload materials safely.
- Travel to construction sites to deliver architectural hardware and related products.
- Meet with contractors or authorized jobsite representatives to review and verify delivered materials.
- Confirm delivery quantities and package counts with the contractor before leaving the jobsite.
- Obtain signed delivery documentation and record any shortages, damages, refusals, or discrepancies.
- Maintain clear accountability for materials from the time they are received until they are accepted at the jobsite.
- Ensure high-value products and small packages are handled securely and are never left unaccounted for.
- Photograph or otherwise document deliveries when required.
- Immediately report missing, damaged, disputed, or incorrectly delivered materials.
- Maintain organized receiving, staging, inventory, packing, and delivery areas.
- Perform regular inventory counts and assist with investigating inventory discrepancies.
- Update receiving, inventory, delivery, and project information in the company’s systems.
- Communicate shortages, damages, substitutions, backorders, and shipping issues to the procurement and project teams.
- Coordinate with procurement, project management, shipping, warehouse staff, suppliers, and contractors.
- Assist with stock replenishment and basic purchasing activities.
- Request pricing, prepare purchase orders, place orders, and follow up with suppliers as responsibilities grow.
- Support improvements to receiving, inventory, delivery verification, and material-handling processes.
- Perform other procurement, inventory, warehouse, and delivery-related duties as required.
Qualifications

- Strong organizational skills and the ability to manage materials for multiple projects simultaneously.
- Comfortable working with computers, spreadsheets, inventory systems, and electronic documentation.
- Able to follow detailed procedures and maintain accurate records.
- Willing to ask questions when information is unclear rather than making assumptions.

- Comfortable interacting with contractors and other jobsite personnel.
- Able to remain organized and professional when delivery quantities or materials are disputed.

- Able to lift, carry, and move architectural hardware, boxes, and related materials safely.
- Valid driver’s licence with a clean driving record.
- Able to travel to jobsites as required.
- Previous experience in receiving, inventory, warehousing, delivery, construction materials, or purchasing is an asset but not required.
- Experience with doors, frames, architectural hardware, construction, or building materials is an asset.

Delivery Accountability
The employee will be responsible for maintaining a clear chain of custody for project materials. This includes confirming what was received, what was packed, what left the warehouse, what arrived at the jobsite, and what the contractor accepted.
Deliveries must not be treated as complete until quantities have been verified, discrepancies have been documented, and the appropriate contractor representative has acknowledged receipt.
Because architectural hardware can be expensive and difficult to replace quickly, accuracy and documentation are essential parts of this position.

Hours
- Monday to Friday, 7:00 AM to 4:30 PM
Pay: $20.00-$24.00 per hour
