Job Overview
We are seeking a professional and organized Receptionist/Administrator to join our team. This role is vital in ensuring smooth daily operations by managing front desk activities, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office skills, excellent communication abilities, and proficiency with various software tools. Experience in medical or dental offices is a plus, but not required. Responsibilities
- Greet visitors and clients professionally at the front desk, ensuring a welcoming environment
- Manage multi-line phone systems, handle inquiries, and direct calls appropriately
- Schedule appointments and insurance billing as well as maintain calendars using Janeapp and Microsoft tools
- Perform data entry with accuracy into various databases, including QuickBooks and other software systems
- Handle clerical tasks such as filing, photocopying, and organizing documents
- Support bookkeeping activities, including basic invoicing and record keeping
- Assist with customer service by addressing client questions and providing support as needed
- Proofread documents for accuracy and clarity before distribution
- Maintain a clean and organized reception area to promote a professional atmosphere
- Support administrative tasks related to medical or dental office operations if applicable
- Handle RMT laundry throughout the day
Qualifications
- Proven experience in office administration, clerical work, or front desk roles preferred
- Strong computer skills with proficiency in JaneApp, Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Experience with QuickBooks or bookkeeping is preferred but not mandatory
- Excellent phone etiquette and customer service skills with the ability to handle multi-line phone systems effectively
- Strong organizational skills with attention to detail and accuracy in proofreading and data management
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Previous experience in medical or dental offices is advantageous but not required
- High school diploma or equivalent; additional administrative training or certification is a plus
