Full Job Description:
We’re looking for someone to own the compliance and record-keeping side of our maintenance operations. You’ll work in a shop environment alongside mechanics and the foreman, ensuring every vehicle file, work order and inspection record is complete, accurate, and audit-ready. This is a compliance and administrative role — not a mechanic position.
Responsibilities:
- Maintain complete vehicle files for all tractors and trailers (repair records, PM records, lubrication records, CVIP certificates, and work orders)
- Track preventive maintenance intervals and flag vehicles that are due or overdue for service
- Monitor and follow up on CVSA inspection defects (Out-of-Service and Remedial Action items)
- Review trip inspection reports for completeness and ensure reported defects are addressed
- Manage the work order system, ensuring all entries include: Date, Vehicle ID, Work performed, Odometer/hubometer readings
- Oversee parts and supply inventory for the shop
- Support the Safety & Compliance Manager with audit preparation and quarterly reviews
- Generate reports on PM compliance, outstanding defects, and work order status
Requirements:
- Experience in fleet maintenance administration, vehicle record-keeping, or transportation compliance
- Strong organizational skills and attention to detail
- Comfortable using computers and work order or fleet management systems
- Strong communication skills with the ability to work with mechanics, drivers, dispatch, and management
- Must have own transportation as there is no transit to this location
Nice to Have:
- Knowledge of National Safety Code (NSC) Standards
- Familiarity with Alberta Commercial Vehicle Safety Regulations and CVIP requirements
- Understanding of CVSA inspection categories, including Out-of-Service and Remedial Action criteria
- Background in trucking, logistics, or commercial transportation
