Overview
We are seeking a highly organized and proactive Service and Parts Lead to direct our service department and parts operations. You will be the main lead for the service team, the primary bridge to our customers, and a strategic partner to the business owner. Key Responsibilities
Service Scheduling & Work Order Operations
- Optimize the Schedule: Maintain the daily service schedule based on urgency (emergencies, sales) and promise dates.
- Lead the Team: Act as the primary lead and go-to person for the service technicians; ensure clarity of customer expectations and maintain our highest service standards.
- Master the Data: Serve as the most knowledgeable person on Repair Orders (ROs) for the day, week, and month.
- Customer Communication: Deliver excellent service via face-to-face, phone, email, and Kenect for troubleshooting, building ROs, quoting, and finalizing work.
- Rapid Response: Maintain same-day responses to all service inquiries (shared with the Service Assistant).
- Reporting & Meetings: Audit active ROs monthly; lead weekly performance meetings with the owner and assistant, and present monthly summary reports (including technician hours and outstanding accounts receivable).
Parts & Inventory Management
- Parts Procurement: Source and look up parts using technical diagrams, place daily orders, and oversee annual and monthly booking/top-up orders.
- Strategic Planning: Schedule ROs accurately based on parts delivery timelines, customer promise dates, and current service demand.
- Financial Oversight: Manage parts margins, freight charges, and US exchange rates; track supplier promotions to maximize profitability.
- Inventory Control: Maintain accurate pricing tags, manage min/max stock levels, and lead monthly bay counts and year-end full inventory counts.
Facility & Team Standards
- Professional Workspace: Maintain a clean, organized, clutter-free desk and retail sales floor held to a high company standard.
- Team Contribution: Participate in the shared office rotation schedule to keep common areas and facilities clean.
Qualifications & Skills
- Proven experience in a Service Manager, Parts Manager, or Service Advisor role (powersports, marine, or automotive experience highly preferred).
- Exceptional leadership, communication, and conflict-resolution skills.
- Strong technical aptitude with the ability to read parts diagrams and schematics.
- Highly analytical with experience managing inventory counts and analyzing performance reports.
- Proficiency with digital communication tools (e.g., Kenect, CRM, or dealer management software).
- Self-motivated, detail-oriented, and driven by high standards of customer satisfaction.
