Job Overview
We are seeking a highly organized and detail-oriented Dental Office Administrator to oversee the daily operations of our dental practice. The ideal candidate will have a minimum of 1 year of experience in Dental Office Administration and previous experience working in a dental office. This role is responsible for managing front office operations, coordinating patient services, answering incoming phone calls, monitoring and responding to office emails, and supporting the clinical team to ensure a smooth and efficient office environment.
The successful candidate will possess excellent communication and organizational skills, a strong understanding of dental terminology, insurance processing, and electronic patient records. Experience with dental practice management software is preferred. Our office uses AkituONE software, and comprehensive training will be provided. The Dental Office Administrator plays a key role in delivering exceptional patient service, maintaining compliance with healthcare regulations, and ensuring the efficient day-to-day operation of the practice.
Responsibilities
- Answer incoming phone calls professionally, respond to patient inquiries, and direct calls as appropriate.
- Monitor and respond to office emails promptly, ensuring timely communication with patients, vendors, and team members.
- Manage patient scheduling, appointment confirmations, recalls, and follow-ups to optimize office workflow.
- Welcome patients warmly, complete check-in and check-out procedures, and provide exceptional customer service.
- Build positive relationships with patients by listening to their concerns and ensuring they feel understood and respected.
- Process billing, insurance claims, pre-authorizations, and patient payments accurately.
- Maintain accurate electronic patient records using AkituONE dental practice management software (software on-site training available)
- Assist with treatment coordination, coding, and administrative financial tasks.
- Supervise front desk operations and coordinate administrative duties among team members.
- Ensure compliance with privacy legislation, healthcare regulations, and office policies.
- Support human resources functions, including onboarding new staff and maintaining employee records.
- Collaborate with dentists, hygienists, and clinical staff to ensure effective communication and seamless patient care.
- Oversee inventory management of office supplies and dental materials.
- Resolve patient concerns professionally and efficiently to promote a positive patient experience.
- Perform other administrative duties as assigned to support the successful operation of the practice.
Qualifications
- Minimum 1 year of dental office administration experience required.
- Strong knowledge of dental terminology, insurance procedures, and treatment coordination.
- Experience with dental practice management software is an asset.
- Experience with AkituONE is an asset but not required. Training will be provided.
- Excellent communication, organization, and multitasking skills.
- Ability to handle patients with care, patience, and professionalism.
