Job Overview
Works directly with the COO daily, acting as an extension of his workload. Hands-on, all-rounder role: part executive support, part project support, part operational problem-solving. The COO moves faster because of this person. Anticipates needs, closes loops without being chased, and can jump into any department to dig into an issue and report back clearly.
Duties
- Manage calendar, meetings, and follow-ups; track action items to completion
- Act as a second set of eyes and ears in meetings, analyzing and using meeting notes to drive follow-up and action
- Represent the COO in meetings when needed, including follow-up sessions or calls he can't personally attend
- Build and edit presentations, reports, and documents to a professional standard, largely unsupervised
- Handle personal errands, logistics, and travel/trip coordination as needed
- Get dropped into a department or project to investigate, gather facts, and report back with a recommendation
- Own small to medium projects end to end, coordinating with other departments for updates
- Manage inboxes and communications on the COO's behalf where appropriate
- Learn tools (Power BI, SAP B1, MS Teams, and others) fast enough to self-serve

- Extremely organized with a tracking system
- Clear communicator, written and verbal
- Fast learner, minimal repetition needed
- Comfortable at executive pace: quick turnarounds, ambiguity
- Tech-savvy with presentation, document, and spreadsheet tools
- High attention to detail
- Discreet and trustworthy with sensitive information
- Resourceful
- Valid driver's license, with willingness to travel locally and within Canada
Pay: $40,000.00-$45,000.00 per year
