We are looking for a highly organized and proactive Event & Shipping Coordinator to join our small team in a dynamic, fast-paced office environment. This is a unique opportunity for someone who enjoys variety in their day—combining event planning, logistics coordination, and office operations into one impactful role.
You will play a key part in supporting our sales and service teams, ensuring seamless execution of events, efficient shipping processes, and smooth day-to-day office operations.
What You’ll Do
Event & Tradeshow Coordination
- Plan and execute Canadian tradeshows and conferences from start to finish
- Coordinate engaging events hosted at our office for clients and partners
- Source and manage promotional items (“swag”) and marketing materials
- Handle logistics including shipping, booth setup, and event preparation
- Ensure all event materials are delivered, tracked, and returned on time
Shipping & Logistics Coordination
- Coordinate domestic and international shipments of advanced laser scanning products
- Prepare shipping documentation, including commercial invoices and customs paperwork
- Ensure compliance with internal processes and international shipping regulations
- Receive and inspect incoming shipments, verifying accuracy and condition
- Record and track shipments in Salesforce CRM
- Support asset tracking and software licensing data across North America
Office Operations
- Manage office supplies and maintain organized inventory
- Oversee mail and courier services (incoming and outgoing)
- Set up meeting spaces for team and client meetings
- Coordinate vendors for cleaning, maintenance, and office services
- Help maintain a well-run, efficient, and professional office environment
Sales & Lead Support
- Monitor tender platforms for new business opportunities
- Create and manage leads within Salesforce CRM
- Provide administrative support to the sales team as needed
What You Bring
- Diploma or degree in Business Administration, Logistics, Supply Chain, Marketing, or a related field
- 2+ years of experience in administration, logistics, or operations support
- Familiarity with CRM systems (Salesforce preferred), ERP systems, and Microsoft Office
- Knowledge of domestic and international shipping processes is an asset
- Strong organizational and multitasking abilities
- Excellent communication skills and attention to detail
