CHILD HOME SERVICES - Scheduling Resource Administrator

New Directions is a social service agency offering a wide range of resources and services that foster people’s hopes and dreams in their communities.

Child Home Services (CHS) is one of the many programs offered by New Directions. This service area offers a range of home supports (i.e., family supports, foster home, group care homes, individualized homes, independent living, mentored living) to children, youth, and families who are dealing with challenges related to the experience of trauma and/or living with a disability. Our community-based resources are designed to support connection with family and community, a sense of belonging, and provide opportunities to engage in a meaningful life.

The Scheduling Resource Administrator is responsible for filling open shifts in the scheduling of Direct Support Worker staff for all CHS locations and homes, handling same-day shift reassignments related to staff reports/call-ins, gathering casual staff availability, maintaining records of casual staff availability for general shift assignments and same-day call-ins, and assisting with a variety of administrative, systems and process-related tasks within the CHS service area as assigned.

RESPONSIBILITIES:

Assists in developing and performing edits to the on-call schedule.
Performs administrative procedures as related to the scheduling processes for all CHS locations (homes) and community-based shifts for Direct Support Worker staff.
Performs regular scheduling of all open Direct Support Worker shifts after full, part time, and usual casual staff have been assigned shifts by the Home Supervisors, Coordinators or Case Managers.
Assists in developing and executing internal efficiencies to ensure a streamlined and well-functioning day-to-day work environment.
Maintains and develops systems to gather and compile casual Direct Support Worker staff availability for scheduling – monthly and to fill urgent same-day reassignment requests.
Compiles and maintain informational reports (staff lists, contact information, scheduling requirements as related to child/youth/home needs, and staff accommodations).
Compiles and maintains tracking systems as assigned/required.
Participates in the development of service area specific policy and procedures related to scheduling or administration.
Audits service area documents and files to ensure they are complete according to standards.
Provides administrative support specific to service coordination initiatives as assigned
Attends service area meetings as assigned, and records, compiles and distributes meeting minutes
Answers incoming telephone calls, emails, or text messages from staff as they relate to shift re-assignments and cancellations. Immediately initiates shift reassignment process to fill any same day gaps in scheduling or open shifts.
Maintains and fosters teamwork and cooperation within the staff team.

QUALIFICATIONS:

Completion of high school (or grade 12 equivalent) and additional business administration training from a recognized college or institution.
Two to three years of experience in administrative roles that handle confidential information.
Strong computer and data entry skills, with a minimum 60 w.p.m. typing in Microsoft Word, proficiency with Microsoft Excel and the full Microsoft Office Suite, and the ability to continuously learn new database processes. Experience working with SharePoint (or similar) and PowerPoint is considered an asset.
Ability to self-manage time and balance work to meet strict timelines for the completion of tasks and competing priorities.
Strong organizational skills, a keen attention to detail, and the ability to maintain strict confidentiality.
Clear and concise verbal and written communication skills and a demonstrated ability to be diplomatic in handling all situations (A.S.L. skills are an asset).
Effective problem-solving ability and excellent customer service skills.
The ability to work independently and as a part of a team.

The salary range for this Full-time, 1-year term, 70-hour bi-weekly position is $18.5389 to $25.0290 per hour (equivalent to $33, 740.80 - $45, 552.78 per annum), dependent upon education and/or experience.

The successful candidate will be subject to Criminal Record Check, Adult and Child Abuse Registry Check, Prior Contact Checks.
