POSITION TITLE: Tax Administrative Assistant/ Special Projects
DEPARTMENT: Lands, Leasing & Tax Department
SUPERVISOR: Manager, Tax Administrator
TERMS: On-Call (Thursday & Friday’s only) until October 5, 2026 with a chance of extension

Purpose of Position:
The purpose of this position is to provide administrative and executive support to the Manager, Tax Administrator, or such other person as TteS may designate from time to time, as well as conduct research and various tasks for departmental special projects.
Duties and Responsibilities:
- This position is responsible for assisting the Manager, Tax Administrator, or such other person as TteS may designate from time to time, and to work on Special Projects as directed. (95%)
- Performs confidential administrative assistant responsibilities for the Manager, Tax Administrator
- Coordinates with the Lands & Leasing Administrative Assistant, other administrative assistants, executive assistants, and the Administration team to arrange meetings
- Provides and assists the Tax team activities, projects, and workshops and coordinates with the Tax team activities, projects, and workshops.
- Assists the tax team with communication and receives and responds to, but not limited to, counter, telephone, email tax related inquiries and to explain the tax system and concepts clearly and concisely to stakeholders, internal departments and external agencies as the first point of contact.
- Periodic review to ensure efficiency and consistency of the filing systems within the LLTD.
- Prepares types and distributes correspondence, transcribes and formats from dictation, and handwritten note, letters, memorandums, and other documents, notices as directed by the Manager, Tax Administrator.
- Understands budgeting, coding, and finance procedure to assist the Manager, Tax Administrator, to prepare, complete, distribute, and file purchase orders and cheque requisitions.
- Coordinates, schedules, sets up tax meetings (including equipment set-up) for the Manager, Tax Administrator, LLTD, and where necessary, notifies the applicable attendees of standing and special meetings.
- Schedules, attends, coordinates meetings, teleconferences, and video conference, arranges catering as needed, prepares agendas, distributes agendas, and records, transcribes, and distributes minutes of meetings.
- Updates, maintains the Tax section of TteS Website (Lex’éyem, other forms of communication, Strategic Plan and Action Items.
- Creates and maintains a Property Tax Newsletter.
- Undertakes special projects, conducts research and case studies, and reports and distributes accordingly for direction and decisions as required.
- Responds to and redirects incoming inquiries for the Manager, Tax Administrator, in their absence.
- Arranges travel requirements for the Manager, Tax Administrator, and assists in the preparation of travel claims.
- Maintains the tax section of the LLT Department e Resource Library.
- Occasionally prepares Contracts/General Terms of Reference, as per directed by the Manager, Tax Administrator, and in accordance with budgets and proceeds to guide and train short term contractors and General Terms of Reference.
- Maintains confidentiality on all matters relating to the affairs of TteS.
- Performs all duties and responsibilities in accordance with the TteS policies, standards, and procedures.
2. 5% Other related duties as necessary.
Financial Responsibility:
This position has limited budget responsibility.
Supervision or Training Duties:
This position does not have supervisory or direct training duties, however, may mentor short term workers, contractors from time to time.
Professional Certification, Education and Experience:
An Office Administration or Administrative Assistant Diploma or Certificate or a combination of 3-year clerical/administrative support experience, accounting certificate, education and/or training.
Prefer Tax Administration Certification
Prefer knowledge in Tax Administration Software (TAS) and accounting software (ACCPAC)
Prefer knowledge of the Indian Lands Registry System (ILRS)
Experience/training in keyboarding, word processing, spreadsheet, the Internet, databases, and other standard computer applications.
40 words per minute keyboarding speed.
Experience in minute taking and performing research activities.
Experience with and MS Publisher.
Prefer knowledge of TteS, LLT Department.
Skills and Abilities:

HOURS OF WORK: Normal Day shifts – 7 hours. Non-normal shifts may be required.
PAY GRADE: Starting at $22.59 - $$24.95/hour depending on education & experience
