POSITION OVERVIEW
Aarti Real Estate Enterprises is a privately held company operating a portfolio of commercial and industrial properties across the Greater Toronto Area. We are seeking an experienced and driven Property Manager to take full operational ownership of multiple properties within our portfolio. This is a hands-on, high-accountability role suited for someone who can act as the owner's representative on the ground, ensuring our properties are well-tenanted, well-maintained, financially sound, and running smoothly on a day-to-day basis.
The successful candidate will be the primary point of contact for all tenants, contractors, and vendors across the portfolio. Responsibilities span both our commercial retail plazas and industrial assets, ranging from filling vacant units and managing lease compliance to coordinating maintenance and overseeing the physical condition of each property. This role demands equal parts business acumen, relationship management, and operational discipline.
CORE RESPONSIBILITIES
Property Operations and Facilities Management
- Conduct regular site visits across all AREE properties to assess the condition of buildings, common areas, parking lots, signage, lighting, and landscaping.
- Identify maintenance issues proactively, before tenants are required to report them.
- Coordinate and manage all maintenance work orders from initiation to completion, ensuring quality and timeliness across both commercial and industrial sites.
- Source, vet, and manage relationships with third-party contractors and vendors including HVAC, cleaning, landscaping, snow removal, electrical, and plumbing.
- Review and approve contractor invoices; confirm all work is completed to an acceptable standard prior to sign-off.
- Ensure all building systems, including HVAC, fire suppression, lighting, dock equipment on industrial properties, and any elevators, are inspected and serviced on schedule.
- Maintain compliance with Ontario building codes, fire safety regulations, AODA accessibility requirements, industrial safety standards, and applicable municipal bylaws.
- Manage seasonal property requirements, including snow removal contracts in fall and parking and yard maintenance in spring, across commercial and industrial sites.
- Oversee and document capital improvement projects; provide recommendations to ownership on necessary upgrades, replacements, or repairs.
Tenant Relations and Lease Management
- Serve as the primary contact for all tenants across the AREE portfolio, handling inquiries, concerns, complaints, and requests promptly and professionally.
- Foster and maintain positive tenant relations through regular site visits, tenant meetings, written correspondence, and accessible, timely service.
- Monitor all lease agreements for key dates including renewals, expiries, rent escalations, option periods, and insurance compliance deadlines.
- Administer and enforce lease terms for both commercial and industrial tenants, including obligations around signage, operating hours, permitted use, subletting, and alterations.
- Conduct annual CAM (Common Area Maintenance) reconciliations and issue tenant true-up invoices accurately and on schedule.
- Handle tenant defaults, arrears, and disputes in accordance with Ontario commercial tenancy law; escalate to legal counsel when warranted.
- Monitor rent collections and arrears on a regular basis; ensure timely resolution of outstanding receivables including dispute reviews and, when necessary, enforcement action.
- Coordinate tenant move-ins and move-outs, including space inspections and deficiency reporting across both asset classes.
Leasing and Vacancy Management
- Actively market vacant commercial and industrial units through appropriate listing platforms, broker outreach, on-site signage, and direct prospecting.
- Develop and maintain relationships with commercial and industrial real estate brokers and leasing agents to generate qualified tenant leads.
- Conduct tours of available units with prospective tenants; prepare and present leasing packages tailored to the asset type.
- Screen prospective tenants by reviewing business plans, financial statements, references, and creditworthiness; assess operational fit for industrial tenants.
- Prepare Letters of Intent and work with ownership and legal counsel to finalize lease agreements.
- Maintain target occupancy rates across the portfolio and proactively address impending vacancies well in advance of lease expiry.
- Track and report on local commercial and industrial market trends, competitor property activity, and current rental rate benchmarks.
Financial Management and Reporting
- Prepare and manage annual operating budgets for all AREE properties, including operating expenses, CAM costs, and capital expenditures.
- Authorize all purchase orders and accounts payable to ensure timely payment of invoices.
- Prepare monthly financial reports for ownership, including NOI summaries, variance analysis, rent roll updates, and occupancy snapshots by asset class.
- Track all income and expenses against budget; flag variances and provide clear explanations.
- Identify cost-saving opportunities without compromising property quality or tenant satisfaction.
- Maintain organized records of all leases, insurance certificates, contracts, work orders, and tenant correspondence.
Risk, Safety, and Compliance
- Identify and address issues relating to life safety, liability, and potential negligence situations that could impact AREE, its contractors, tenants, or visitors, with particular attention to industrial site safety standards.
- Ensure all tenants carry and maintain valid liability insurance per their lease requirements; track certificates and follow up on renewals.
- Maintain the company's own insurance documentation and coordinate with AREE's insurance broker for annual renewals.
- Oversee environmental compliance and energy conservation requirements as applicable across commercial and industrial properties.
- Conduct long-term capital planning to accommodate structural, environmental, systems, equipment, and furnishing repairs, replacements, and enhancements.
- Ensure Health and Safety policies are implemented and assessed at all properties on an ongoing basis.
QUALIFICATIONS AND EXPERIENCE
Required
- 4 to 7 years of experience in commercial property management, with exposure to both retail and industrial asset types preferred.
- Demonstrated experience managing multiple properties simultaneously with a high degree of independence.
- Strong working knowledge of commercial and industrial leases, CAM reconciliations, and Ontario commercial tenancy law.
- Experience with vendor and contractor management and direct facilities oversight across varied property types.
- Proficiency in property management software such as Yardi, MRI, Buildium, or a comparable platform.
- Valid Ontario driver's licence; regular travel between AREE properties is required.
- Strong financial literacy; comfortable preparing and reading budgets, profit and loss statements, and variance reports.
Preferred
- CPM (Certified Property Manager) or RPA (Real Property Administrator) designation, or active progress toward one.
- Direct leasing experience across commercial and industrial units, including tenant sourcing and not only management of existing tenants.
- Familiarity with Ontario Building Code, fire code, industrial safety regulations, and AODA compliance requirements.
- Prior experience with a privately held multi-asset real estate operation, REIT, or commercial property management firm.
