Reporting to the Director of People and Culture, the People & Payroll Administrator’s primary responsibility is to ensure accuracy of data and changes within the payroll systems to ensure smooth processing. The Administrator is responsible for personnel record keeping, maintaining and supporting the improvement of processes, and may be involved in the training and implementation of new programs as required. The position is based out of Concorde Group Administration’s Head Office and supports all of Concorde’s affiliated venues and brands.
This position offers a hybrid work arrangement, with 3 days per week in office and 2 days per week at home. Normal business hours are Monday to Friday, 9:00-17:00; but may be flexible in some ways.

- Provide administrative and troubleshooting support to the Payroll team during payroll processing cycles, assisting with data validation, issue resolution, and payroll-related inquiries.
- Prepare reports and conduct regular audits to ensure the accuracy, completeness, and integrity of employee data within HRIS and payroll systems.
- Process employee terminations and associated documentation within established timelines, ensuring Records of Employment (ROEs) are issued accurately and in compliance with legislative requirements.
- Compile and validate bi-weekly employee change information for salaried and Head Office employees, preparing payroll supporting documentation for payroll processing.
- Coordinate employee status changes by communicating relevant information to IT and other stakeholders to ensure appropriate system access and organizational updates.
- Administer Temporary Foreign Worker tracking and reporting requirements, proactively monitoring permit expirations and coordinating follow-up activities with employees and management.
- Maintain accurate and compliant electronic personnel records, ensuring documents are appropriately filed, secured, and managed in accordance with company standards and privacy requirements.
- Support the development, formatting, maintenance, and distribution of company policies, procedures, forms, and employee communications.
- Maintain organizational charts and workforce records, ensuring information is accurate, current, and distributed to appropriate stakeholders on a regular basis.
- Administer employee police clearance tracking and renewal processes, monitoring expiration dates and notifying employees and managers of upcoming requirements.
- Review, code, reconcile, and submit People & Culture department invoices as required.
- Coordinate new employee onboarding activities, including preparing orientation materials, collecting employment documentation, and acting as first point of contact for company programs and policies.
- Prepare and distribute regular People & Culture metrics, dashboards, and reports to support operational and strategic decision-making.
- Coordinate annual policy reviews and updates, engaging key stakeholders, maintaining version control, and communicating changes to impacted employees.
- Participate in continuous improvement initiatives by identifying process efficiencies, supporting project work, and contributing to departmental training and development activities.
- Support benefits administration activities, including enrolments, changes, terminations, reconciliations, and employee inquiries.
- Monitor shared team inboxes and provide timely responses or escalation of employee inquiries.
- Develop and maintain procedures, process documentation, and administrative guides for Payroll and People & Culture processes.
- Support compliance with employment standards, privacy legislation, company policies, and record retention requirements.
- Provide additional administrative support across Payroll and People & Culture functions, as required.
- Previous experience as an Administrator, Coordinator, Assistant, or in a similar role with demonstrated success (1-3 years).
- Post-secondary education with a focus in Human Resources Management or related is an asset.
- Previous experience working for a complex, multi-faceted organization is strongly preferred.
- Previous experience working with UKG Pro (Recruitment, Onboarding, HRSD, People Analytics, LMS) is preferred but not required.
- Strong organizational skills are required.
- Well-organized with a keen eye for detail and the ability to identify, analyze and solve technical and theoretical problems.
- Advanced English writing and grammatical proficiency is required.
- Recognized ability to build and maintain positive and collaborative working relationships with staff at all levels.
- Working knowledge of employment and human rights-related legislation in Alberta.
