Job Summary
We are seeking a motivated and reliable Administrative Assistant to support our office operations based in Vancouver B.C. In this role, you will be responsible for managing front-office operations and clerical administrative duties, while providing cross-functional support to our Sales, Parts, and Accounting Departments. You will also play a key role in driving client relations and satisfaction by handling customer service related requests, assisting with event coordination and management, and marketing. This position is great for candidates who have good interpersonal and customer service skills, and who are interested in being involved in multiple areas of business operations.
Key Responsibilities
- Serve as the primary point of contact for incoming calls and walk-in visitors, managing inquiries with a high level of hospitality and professionalism.
- Cultivate positive client relations by routing inquiries efficiently, troubleshooting basic customer requests, and ensuring a seamless service experience.
- Manage physical and digital document filing systems, streamline data retrieval, and assist various departments with form completion and office organization.
- Support the Accounting Dept. with AR/AP data entry and prepare necessary supporting documentation.
- Perform daily payment reconciliations for transactions across our British Columbia and Ontario branches.
- Process client payments via physical and virtual POS systems, and professionally manage collections by contacting clients and key accounts regarding overdue invoices.
- Inspect incoming goods for damage or accuracy.
- Event Coordination: Assist in the planning, logistics, and execution of company events, client appreciation initiatives, trade shows, and internal team-building activities.
- Assist the Sales Dept. with the preparation of purchase orders, quotes, and invoices, and maintain accuracy of the central orders and other databases.
- Coordinate customer payment communications to ensure smooth transaction processing.
- Assisting other departments as required.
Qualifications
Required:
- Bachelor's Degree or Equivalent
Preferred:
- 1+ year experience in an office setting
- Experience with Google Workspace, CRM software, and Accounting software, and Digital Marketing is an asset
