The ideal candidate will possess strong knowledge of residential and/or commercial property management operations and be capable of supporting the management of a portfolio of multiple properties.
Knowledge Requirements
- Advanced proficiency with Microsoft Office Suite, including:
- Excel (spreadsheets, formulas, sorting/filtering data, tracking rent payments, budgets, and maintenance records)
- Word (letters, notices, lease documentation, reports, and correspondence)
- Outlook (email management, calendars, scheduling, and task tracking)
- Teams (internal communication, meetings, and file sharing)
- Experience with property management software such as Yardi, Buildium, AppFolio, Rent Manager, Condo Manager, Property Vista, or similar platforms.
- Strong understanding of cloud-based document management systems, including Google Drive, OneDrive, Dropbox, and SharePoint.
- Ability to maintain organized digital filing systems and electronic tenant/property records.
- Experience using electronic signature platforms such as DocuSign or Adobe Sign.
- Experience with CRM (Customer Relationship Management) systems for managing tenant, owner, and vendor communications.
- Proficiency in scheduling and task management software, such as Microsoft Planner, Trello, Asana, Monday.com, or similar platforms.
- Strong internet research skills and ability to navigate municipal websites, utility providers, insurance portals, and regulatory resources.
- Knowledge of website updates, social media management, and basic digital marketing.
- Experience creating dashboards and reports in Excel or Power BI.
- Understanding of cybersecurity best practices, data privacy, and secure handling of tenant and financial information.
- Familiarity with lease administration, lease renewals, notices, tenant files, and occupancy management.
- Knowledge of landlord and tenant legislation, including the Landlord and Tenant Board regulations and the Residential Tenancies Act.
- Knowledge of municipal property standards, health and safety requirements, and regulatory compliance.
- Understanding of vacancy management, tenant onboarding, move-in/move-out procedures, and key control systems.
Bonus Skills (Preferred)
- Experience with AI productivity tools such as ChatGPT, Microsoft Copilot, or similar technologies for drafting correspondence, organizing information, and improving workflow efficiency.
- Familiarity with accounting and bookkeeping software such as QuickBooks, Sage, or integrated property management accounting systems.
- Knowledge of online rental listing platforms and real estate marketing tools, including MLS systems, social media platforms, and rental advertising websites.
Preferred Qualifications
- Minimum 2-3 years of administrative experience in property management.
- Knowledge of residential leasing, commercial leasing, or multi-property portfolio management.
- Property management education/certification is considered an asset.
