Job Overview:
We are a non-profit society that provides affordable housing to low income independent seniors. We are currently seeking an enthusiastic & motivated candidate to fill the full-time position of Reception/Junior Office Assistant. The Junior Office Assistant will play a crucial role in supporting daily operations, ensuring smooth communication, and maintaining organized records.Hours are Monday to Friday from 8:30 am to 4:30 pm.

Knowledge of software programs such as, Microsoft Word, Excel, & Access.
Valid BC Drivers license would be an asset
Duties:
1. To assist in the operation of the Office in a smooth and efficient manner, ensuring proper opening and closing of the office;
2. To represent the Society in a professional and friendly manner.
3. To ensure that the Administrator and Office Manager and other staff members are kept up to date on all office issues, complaints, tenant concerns and maintenance requirements;
4. To unlock and lock the office, key presses, and safe daily.
5. Check for messages on the office answering machine daily.
6. Keep a list of who called, with a brief description of the reason.
7. Keep a list of who came to the office, with a description of the reason.
8. To respond to written, telephone or in person requests for rental information or tenancy applications, as directed;
9. To receive tenant applications and check for completeness and qualification, prior to submission to the Office Assistant/Administrator;
10. Respond to emails from applicants, residents, and contractors.
11. Sell laundry tokens to cottage residents.
12. Collect laundry tokens and coins from coin boxes weekly.
13. Process payments made by cash or cheque, according to office procedures.
14. Process maintenance requests as needed, for the contracted services.
15. To assist in properly maintaining all office equipment and adequate office supplies;
16. Notify the Administrator, Assistant Administrator, other staff members and contractors on all office issues, complaints, tenant concerns, and maintenance requirements.
17. Process bookings and payments for guest suite and activity rooms.
18. To assist the Tenant Association with event ticket sales, newsletters, and flyers;
19. To assist in the co-ordination of maintenance staff and contractors, as directed, and;
20. Other reasonable duties as required by the Administrator from time to time.
Job Type: Full-time
Pay: $18.00-$20.00 per hour
