We are currently seeking an Operations & Administrative Coordinator to support front desk operations, service coordination, documentation control, and administrative workflow while maintaining a high level of accuracy and organization across the business.

Key Responsibilities
- Client Communication & Front Desk Support
- Manage incoming client calls, service requests, and inquiries
- Gather accurate information and route requests appropriately
- Maintain professional and responsive communication with clients, vendors, and team members
- Support day-to-day front desk coordination and administrative workflow
Service Coordination & Workflow Support
- Create, update, and manage work orders within service management software
- Perform light dispatch coordination and scheduling adjustments as required
- Maintain organized and accurate job files, notes, and documentation
- Review work orders for completeness and follow up on missing information
- Assist in ensuring jobs are properly documented and ready for invoicing
- Support technicians and operations leadership with organized communication and documentation flow
Financial & Administrative Support
- Assist with accounts receivable and accounts payable processes
- Apply payments and reconcile deposits
- Support invoice and estimate preparation
- Assist with payroll-related administrative tasks and data entry
- Maintain accurate records and financial documentation
Operations & Data Management
- Maintain accurate client records, files, and operational documentation
- Pull and prepare weekly operational and financial reports
- Monitor open tasks, incomplete information, and workflow gaps
- Support internal coordination between office staff, technicians, and leadership
- Assist with inventory, receiving, and purchase order documentation as required

Required Qualifications
- Minimum 3 years of experience in an administrative, operations, coordination, or service support role
- Strong organizational skills and attention to detail
- Ability to manage competing priorities in a fast-paced environment
- Professional verbal and written communication skills
- Basic accounting knowledge and administrative confidence
- Experience with QuickBooks Online or similar accounting software
- Strong proficiency with Microsoft Office, particularly Excel
- Ability to work independently while contributing positively within a team environment
Nice to Have
- Experience with service management software
- Experience within HVAC, trades, construction, or service-based industries
- Experience supporting dispatch, operations, or workflow coordination
- Experience with inventory receiving or purchase order processes
