About the Role
The Project Coordinator will support the planning and delivery of international cultural exchange programs, including study tours, school visits, workshops, performances, forums, community visits, and educational activities.
This role involves working with local and international partners, coordinating program logistics, preparing schedules and itineraries, supporting participants, and helping ensure each program runs smoothly from planning to completion.
Key ResponsibilitiesProgram and Partnership Coordination
- Help connect and coordinate with international and local partner organizations, including schools, colleges, universities, cultural organizations, tourism groups, and community partners.
- Communicate with partners to understand program goals, participant needs, cooperation opportunities, and preferred program formats.
- Support the development of cultural exchange programs such as study tours, performances, forums, mutual visits, educational workshops, and curriculum-related activities.
- Assist in preparing program proposals, cooperation plans, itinerary outlines, and draft partnership agreements.
Program Planning and Implementation
- Design, develop, and coordinate educational and cultural exchange programs that align with the company’s goals and participants’ learning objectives.
- Create detailed itineraries and schedules, including activities, transportation, meals, accommodation, workshops, school visits, and cultural experiences.
- Coordinate logistics before and during programs to help ensure activities run on time and meet participant expectations.
- Track project timelines, participant numbers, budgets, and key program requirements.
- Work with staff, partners, service providers, and community organizations to support successful program delivery.
Administration and Approvals
- Assist with organizing and submitting required documents for programs, partnerships, and participant activities.
- Support communication with relevant education, cultural, tourism, and government-related organizations when needed.
- Help prepare materials related to activity approvals, entry/exit registration, program documentation, participant lists, and other administrative requirements.
- Maintain organized records, reports, schedules, budgets, and communication files.
Participant and Customer Support
- Provide friendly and professional support to students, youth participants, group leaders, parents, partners, and stakeholders.
- Respond to inquiries, feedback, concerns, and last-minute changes in a calm and professional manner.
- Help create a welcoming, safe, and positive experience for international participants during their stay in Lethbridge.
- Assist with program evaluations, feedback collection, and follow-up after programs are completed.
Qualifications
We are looking for someone with a combination of education, experience, and strong people skills.
Education and Experience
- Bachelor’s degree or diploma in Education, Tourism, Business Administration, International Relations, Communications, Hospitality, Event Management, or a related field is preferred.
- Relevant work experience may be considered in place of formal education.
- Experience in program coordination, project coordination, event planning, tourism, education, student services, or cultural exchange is an asset.
- Experience coordinating travel, tours, workshops, educational programs, or field-based learning activities is preferred.
- Experience working with international students, youth groups, schools, or community organizations is an asset.

- Proficiency with Microsoft Office, Google Workspace, email, spreadsheets, and online communication tools.
Additional Assets
- Mandarin language skills are an asset due to communication with Chinese partner organizations and participants.
- Knowledge of Lethbridge, Southern Alberta, local attractions, schools, cultural organizations, and community resources is an asset.
- A valid driver’s licence and access to a vehicle are assets.
- Experience working with youth is an asset.
- The successful candidate may be required to complete a background check or vulnerable sector check, depending on program requirements.
