Job Summary
We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various office software. This role is essential in maintaining smooth office operations, providing exceptional customer service, and ensuring accurate data management. Experience with medical or dental office procedures is a plus, but not required. The Office Assistant will be the first point of contact for clients and visitors, contributing to a professional and welcoming environment.
Duties
- Manage front desk responsibilities including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing, document organization, and record keeping to ensure easy retrieval of information
- Assist with appointment scheduling, calendar management, and customer support inquiries
- Support bookkeeping activities such as invoicing and billing using QuickBooks or similar software
- Proofread correspondence, forms, and reports for accuracy and clarity
- Provide administrative support by preparing reports, managing correspondence, and performing general clerical tasks
- Maintain organizational standards by keeping the office tidy and supplies stocked
- Support medical or dental office functions if applicable, including patient check-in/out processes and insurance documentation
Experience
- Prior office experience preferred, especially in clerical or administrative roles
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or bookkeeping is advantageous
- Strong computer skills including data entry, typing, and document proofreading
- Excellent organizational skills with attention to detail and accuracy
- Customer service experience with professional phone etiquette and client interaction skills
- Ability to handle multi-line phone systems efficiently and professionally
- Previous experience in medical or dental offices is a plus but not mandatory; training will be provided as needed
Pay: $21.00-$23.00 per hour
