Medical Administrative Assistant - Physician Support (OSCAR)

Viva Health Clinic is seeking an experienced, highly capable professional to own the day-to-day provider documentation and message workflow in OSCAR for an assigned roster of physicians. This is a specialized clinical-administrative role centred on supporting providers directly; it is not a general front-desk position. The successful candidate will manage a high volume of physician and patient messages, interpret provider requests accurately, and carry them through to completion with precision, sound judgment, and minimal supervision.
Responsibilities
- Own the documentation function in OSCAR for an assigned group of physicians, covering both provider-side messages and patient messages routed to the provider, ensuring every item is read, interpreted correctly, actioned, and documented.
- Interpret physician requests and instructions accurately and independently, and follow them through to completion.
- Triage the provider inbox and incoming faxes, including results, reports, and external correspondence, sorting and routing each item and prioritizing by clinical urgency.
- Route lab and diagnostic results to the correct physician, flag abnormal or urgent results promptly, and generate the follow-up tasks providers request.
- Carry out follow-up with patients, laboratories, and external healthcare providers as directed by the physician, including contacting patients directly when a provider requests it.
- Serve as the single, consistent point of contact for the assigned physician roster, coordinating with the Floor Coordinator and Supervisor to close open loops.
- Categorize and route messages consistently (appointment, prescription, lab, administrative, complaint, general) in line with clinic routing standards.
- Maintain accurate, up-to-date documentation in OSCAR, including scanning and filing of results and reports tied to provider workflows.
- Uphold the highest standards of confidentiality and PHIPA compliance when handling patient information.
- Participate in team operations and meetings as required.
Required Qualifications
- Minimum 3 years of experience in a medical office role with direct physician or provider support.
- Strong, fluent command of medical terminology, with the ability to interpret physician requests accurately and independently.
- Demonstrated proficiency with OSCAR or an equivalent EMR, including message, inbox, and documentation workflows.
- Proven ability to triage and manage a high volume of messages and results accurately and under time pressure.
- Sound judgment in prioritizing urgent and abnormal results.
- Fluent written and verbal English.
- Ability to communicate in Chinese, to support patient follow-up as directed by physicians.
- Strong understanding of patient privacy, confidentiality, and health information handling, including PHIPA and related best practices.
- Advanced computer skills and the confidence to learn new systems quickly.
- Dependable, professional, and collaborative, with the ability to work efficiently with minimal supervision.
Considered an Asset
- Post-secondary education in Medical Office Administration, Healthcare Management, or a related field.
- Experience working in a multilingual clinic or serving diverse patient populations.
- Additional vocational training or certification in a medical or healthcare-related field.
