Job Title: Junior Property Manager
Reports to: Director of Operations
Subordinate Positions: As directed by Director of Operations
Summary of Function:
Under the direction of the Director of Operations, you will be responsible for all the work described in this job description for the Junior Property Manager role.
We are seeking an experienced and dedicated Junior Property Manager to oversee the operations and performance of a portfolio of multi-unit apartment buildings in the central region, based out of Toronto, with the flexibility to support the west and east regions as needed, from Niagara Falls to Oshawa. Key Responsibilities:
1. Operations
· Managing the day-to-day operations according to the annual business plans and budgets while maintaining full occupancy and high-quality standards.
- Ensure that the buildings maintain a high standard of cleanliness and quality presentation including interior of the building and surrounding grounds, repairs & maintenance, landscaping, snow removal, etc.
- Conduct regular inspections to ensure and record any potential deficiencies that will impact the structural integrity and the building envelope as well as report findings accordingly.
2. Fire Life Safety
· Ensure all daily, weekly and monthly inspections are completed.
- Review all fire safety logs and ensure internal and external stakeholders are correctly recording the inspections.
- Coordinate the annual inspections and ensure they’re conducted prior to the expiration date and deficiencies are addressed timely in order to receive the corresponding certificates.
3. Rent Collection Management
· Responsible for ensuring rent is collected promptly on the first of every month.
- Actively involved and participate in rent collection along with designated head office staff (i.e. payment plans, LTB attendances, etc.)
- Identify potential issues for rent collection and immediately initiate a plan of action (e.g. inspecting units to ensure tenant’s are still occupying their units, offering information on rent bank support, initiate door knocking and/or ongoing follow-ups with tenants, etc.)
4. Vacancy Management
· Thoroughly ensure the “street-to-suite” experience is according to company standards by providing a high-quality product (i.e. interior/exterior curb appeal, “rent ready” units, etc.)
- Develop leasing strategies and conduct market surveys to identify ideal rental rates that are aligned to the building financial plans and to minimize the rental downtime with a goal to renting units in a back-to-back manner.
5. Scope Vacant Units
· Perform unit inspections to identify the scope of work needed as part of the suite turnover process
- Ensure scope of work is performed within the allocated timeline as per company policy
- Conduct quality assurance inspections and sign off deeming work is completed as per company standards
6. Capital Improvements
· Identify projects that are capital in nature and escalate promptly
- Have an active participation and involvement in approved capital projects (e.g. tenant communication, monitoring contractors on site, checking on quality assurance and safety, etc.)
7. Vendor Management/Procurement
· Pro-actively searching for new vendors that can work well with the company’s business model
- Ability to build and maintain relationships with vendors, suppliers, service providers, and any other external stakeholders
- Ability to review and evaluate cost proposals to ensure market fairness
8. Staff Management
· Responsible for performance management and directing staff to perform assigned duties according to the company standard processes and protocols.
- Responsible for staff training, on-boarding, off-boarding, managing time off and arrangement for necessary coverage.
9. Management Support
· Providing back up and support to peers (i.e. time-off coverage)
10. Building Envelope
· Conduct regular inspections to assess the condition of the building envelope, including roofing, exterior walls, windows, doors, and foundation.
· Identify and report any structural deficiencies, leaks, or signs of deterioration that may impact the integrity and energy efficiency of the property.
· Coordinate and oversee necessary repairs or maintenance to maintain the longevity and performance of the building envelope.
· Ensure compliance with applicable building codes, regulations, and industry best practices for building envelope maintenance and improvements.
· Work closely with contractors and vendors to execute preventative maintenance plans and capital improvements related to the building structure.
· Maintain detailed records of inspections, repairs, and ongoing projects to track the building's overall health and performance.
Requirements:
Education & Experience:
· Post-secondary degree or diploma in Property Management or a related discipline.
- Minimum of 2-4 years of experience in property management.
- Demonstrable experience and knowledge in building/property management is a definite asset.
- Working knowledge of building operation systems and governing legislation (i.e., RTA, Fire Code, etc.).
Skills & Abilities:
· Proven ability to motivate, engage, lead, and manage a team of Resident Managers.
- Proficiency in Office 365, including Microsoft Outlook, Excel, Word, Teams, and other conferencing platforms.
- Experience using Yardi and/or comparable property management software.
- Highly organized with strong multitasking, time management, and deadline-driven abilities.
- Exceptional attention to detail, problem-solving, analytical, and organizational skills.
Additional Requirements:
· Must have a personal vehicle and a valid driver’s license.
Schedule: Flexibility to work outside of regular hours as needed.
