We host Free Dental Days every month for uninsured neighbours. We show up for the people in our communities -- and we are looking for an Office Manager who wants to do the same.
THE OPPORTUNITY
This is a leadership role with real purpose. You will manage daily clinic operations, lead the administrative team, and help ensure that every patient -- regardless of coverage -- has a smooth, dignified experience from the moment they call to the moment they leave. As our London and Ingersoll locations grow, so does the opportunity for the right person to take on a broader multi-clinic role.
SCHEDULE
Monday to Friday, full-time (37-42 hours/week). This role may include travel between local clinics.
WHAT YOU'LL DO
Lead and coordinate the front-desk and administrative team, setting the tone for a positive, productive clinic culture
Oversee patient scheduling, flow, and experience from first call to post-appointment follow-up
Manage billing, insurance submissions (including CDCP, ODSP, ODA fee guides), accounts receivable, and daily financials
Monitor key business indicators and clinic performance, identifying opportunities for improvement
Ensure full compliance with provincial health regulations and infection-control standards
Handle supply ordering, vendor relationships, and inventory management
Support recruitment, onboarding, scheduling, and performance management of clinic staff
Prepare reports and communicate operational updates to ownership
WHAT WE'RE LOOKING FOR
3-5 years of experience in dental office management or senior dental administration -- required
Proficiency with dental practice management software (Tracker, Cleardent, Dentrix, or similar)
Solid knowledge of dental billing, insurance coordination, and accounts receivable processes
Proven leadership ability: you know how to motivate a team and resolve conflict calmly
Strong organizational and multitasking skills in a fast-paced environment
Excellent written and verbal communication skills with patients and colleagues
Experience with staff scheduling, payroll administration, and budget oversight
University or college diploma in business or office administration is an asset
Multi-location management experience is a strong asset
