Position Overview
The Utility Coordinator is responsible for managing permit and locate processes, coordinating field operations, and ensuring accurate tracking and reporting of work activities. This role acts as a key liaison between field teams, customers, and internal stakeholders to ensure timely execution, compliance, and high-quality service delivery.
Key Responsibilities
- Manage ordering, tracking, and status updates of permits and utility locates.
- Maintain regional work trackers and assign tasks to field technicians.
- Coordinate scheduling and operations with field supervisors and managers.
- Conduct daily and weekly planning meetings with field teams.
- Communicate with customers to schedule appointments and provide updates.
- Prepare next-day schedules and distribute work orders via internal systems.
- Monitor shared mailboxes and delegate tasks based on priority.
- Maintain and interpret digital and paper-based records.
- Analyze data sets and deliver structured reports and insights
- Work hours are 6am to 2:30pm, Monday to Friday
Skills & Core Competencies
- Advanced Microsoft Excel (VLOOKUPs, pivot tables, formulas).
- Familiarity with Power BI, Tableau, or SQL is an asset.
- Strong organizational and multitasking abilities.
- Excellent communication and stakeholder management skills.
- Ability to work independently in a fast-paced environment.
- Results-oriented with a focus on customer service.
- Ability to perform under pressure and manage high workloads.
Technical & Systems Expertise
- Interpret archived records, drawings, and documentation.
- Work with digital and manual record-keeping systems.
- Identify discrepancies and troubleshoot data issues.
- Familiarity with engineering drawings is an asset.
- Experience with GIS-based ticketing systems preferred.
Preferred Experience
- Experience in Utility Coordination, Damage Prevention, or Public Works.
- Familiarity with GIS-based ticketing systems.
Qualifications
- Minimum 3 years of office or operations experience.
- Post-secondary education or equivalent experience.
- Strong English communication skills.
- Ability to work independently and in a team.
