Executive Assistant
Location: Port Hope, Ontario
Please Note: This is a full-time, in-office position located in Port Hope, Ontario. The successful candidate is required to work Monday through Friday. Remote work is not available, and no relocation assistance will be provided.
Preference will be given to candidates who reside within 50 km of Port Hope.
About the Opportunity
Our client, a well-established and respected organization in the Port Hope area, is seeking an experienced Executive Assistant to provide high-level support to the CEO.
This role is ideal for an organized, resourceful professional who thrives in a fast-paced environment, anticipates needs before they arise, and enjoys solving problems. The successful candidate is a confident self-starter who requires minimal supervision, exercises sound judgment, and takes ownership of their work.

Key Responsibilities
- Provide confidential executive support to the CEO on a wide range of business matters.
- Manage competing priorities while ensuring deadlines are met.
- Conduct research on products, vendors, suppliers, and service providers.
- Obtain and compare pricing, quotes, and proposals.
- Prepare professional correspondence, reports, and presentations.
- Draft emails and other business communications on behalf of the CEO.
- Maintain accurate CRM records and business databases.
- Organize, retrieve, and maintain company records and documentation.
- Coordinate vendors, contractors, and office services.
- Assist with operational initiatives, special projects, and executive requests.
- Identify opportunities to improve administrative processes and efficiencies.
- Handle confidential information with professionalism and discretion.
Qualifications
- Minimum 5 years of experience supporting senior executives in an Executive Assistant, or similar role.
- Post-secondary education in Business Administration or a related field is considered an asset.
- Experience working independently with minimal direction.
- Exceptional organizational and time-management skills.
- Outstanding written and verbal communication skills.
- Strong customer service and relationship-building abilities.
- Excellent problem-solving skills with the ability to think proactively.
- Proven experience managing multiple priorities in a fast-paced environment.
- High level of professionalism, discretion, and attention to detail.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Previous experience using a CRM system is required.
- Experience with Sage 300 is considered a strong asset (or required, if applicable).
