A long-standing law firm in Calgary is hiring an experienced Office Administrator to join their team on a permanent full-time basis. This employee will be responsible for office management and some firm operations to support a team of lawyers and legal support staff in creating exceptional client experiences.
For this position, a suitable candidate will possess:
- 4 - 7 years of experience in a professional office setting in the legal sector
- Post-Secondary Diploma or Degree in Office Management or Equivalent
- Strong proficiency in Microsoft Office and common office equipment
- Working knowledge of hard copy and electronic business filing systems
- Ability to follow and improve established office administration processes
- Keen attention to detail and high level of discretion to maintain confidentiality
- Top notch organizational and time management skills to complete tasks
- Developed critical thinking, problem solving, and prioritization skills
- Excellent interpersonal communication and client relations skills
- Personable and friendly demeanor with a helpful, proactive attitude to support team
- Professional mannerisms for an office setting
- Capacity to work independently with moderate supervision and instruction
- Some familiarity with CosmoLex and legal terminology is an asset
- Multilingual abilities are beneficial (Hindi, Punjabi)
Wherein, the successful candidate will help us:
- Greet all visitors and complete sign-in procedures upon arrival
- Answer incoming phone calls and email messages promptly
- Distribute physical correspondence and packages to the team
- Book initial and follow up client appointments in MS Outlook
- Maintain neatness of boardroom and common areas throughout the office
- Open, Update, and Close Business Files for Clients and Employees
- Upload scanned documents to correct file location on SharePoint
- Draft and send out approved firm wide employee communications
- Assist with the setup of workstations for new employees
- Act as a liaison between legal and support employees
- Assist in event planning and coordination
- Coordinate with external vendors and stakeholders for event planning and stationary and office supply orders
- Make travel bookings for Partners using approved channels
- Activate building security system before departing the office each day
- Support legal professionals and legal assistants as required
- Assist with other administrative tasks as required
