Job Position – Clinic Administrator at Wonderwise Psychology
Hours: Approximately 30 – 35 hours/week)
Compensation: $25-30/hour

Wonderwise Psychology is a growing children’s mental health practice in Toronto, Ontario. We are a group of clinicians who are passionate in helping children and teenagers to reach their full potential with respect to learning, building healthy relationships, and enjoying good mental health. Our office is located in the office tower at Yorkdale Mall, and is easily accessible by public transit or by car.
We are currently seeking a Clinic Administrator to join our team. The Clinic Administrator at Wonderwise Psychology is responsible for supporting clients and clinicians with providing initial service information calls/emails, online scheduling and billing, maintaining office supplies and organization, as well as general clinic administration needs.
Responsibilities are as follows:
- Receive incoming phone and email requests for service and provide initial information regarding the service process and fees
- Complete intake interviews with potential clients
- Liaise with community partners to coordinate client services and referrals
- Manage accounts receivable (i.e., processing payments and providing receipts for clients)
- Support Psychological Assessment process by coordinating with families and teachers to ensure all information has been collected appropriately
- Coordinate administrative services with Clinic Intake Coordinator
- Create and organize electronic and hard-copy resources
- Scan hard-copy materials into electronic practice management system
- Manage office supplies and materials
- Other duties as assigned
The optimal candidate will possess for following characteristics and qualifications:
· Minimum Post-Secondary degree/diploma required
· Prior employment in a reception or administration role an asset
· Strong organizational, time management, and task prioritization skills
· Competency with using Microsoft software
· Comfort working with an electronic practice management system ideal (experience with OWL or Jane is preferred)
· Excellent verbal and written communication skills
· Strong interpersonal skills with colleagues and clients
· Ability to maintain confidentiality for colleagues and clients across a variety of clinically sensitive interactions
· Ability to work both independently and collaboratively within a fast-paced clinic environment
Job Type: Part-time
Pay: $25.00-$30.00 per hour

- Secondary School (preferred)
Experience:
- Administrative experience: 1 year (preferred)
